To provide audio typing assistance to the Medical Secretarial Team with typing of patient's clinic attendance letters and other varied medical terminology letters accurately using the digital Bighand dictation system.

To help with clinic typing within the various sub-specialities of Orthopaedics within the typing time line target.

To regularly check Bighand dictation system for urgent dictation.

Process incoming mail and distribute as necessary.

To scan documents on to the electronic patient record.

Ensure all onward referrals have been received and processed following clinic typing.

To type clinic notes, operation notes, pre operative notes, ward notes, specialist reports, discharge summaries, conference notes and correspondence of varied medical terminology, accurately through audio typing distributing as necessary to the relevant healthcare professions. This work involves a significant use of word processing and the Trust’s computer systems, SF4, PAS, EPR and Word Microsoft Office and digital dictation system.

Process incoming mail and distribute as necessary on a daily basis.

To scan documents into the correct section of the patient’s EPR record, performing a quality assurance check for each scanned document.

To regularly check Big Hand for urgent dictation. Also checking for missing dictations and alerting the Medical Secretary.

Ensure all clinical letters are completed and dispatched, where possible, within the10 day standardas directed by the Trust liaising with medical staff to encourage dictation and signing of letters in a timely fashion.

Complete Inter Provider Transfer forms accurately to effectively coordinate patient’s pathway with other hospitals.

Requesting external case notes and x-rays via IEP.

The use of photocopying handling skills and fax machine skills to reproduce or fax documents as required.

Ensure that all entries and information on the hospital computer systems such as PAS and EPR are accurate and complete.

To liaise with the Medical Secretary and when directed to answer incoming telephone calls as well as carrying out external telephone calls.

The ability to deal with frequent interruptions whilst maintaining levels of concentration.

To complete e-learning statutory and mandatory training as requested by the Trust.

Ensure that Health & Safety issues are brought to the attention of the Patient Access Manager or HCR Team Leader.

Achieve departmental objectives following Trust policies, Government guidelines and protocols.

To adhere to the Data Protection Act at all times.
