**Facilities Office Assistant | London | Competitive Salary**
We are seeking a dedicated Facilities Office Assistant to join our team and contribute to the smooth operations of our Exchequer Court office and other London locations. This role extends beyond traditional administrative functions, involving critical responsibilities for our internal and external stakeholders.
**Role Overview**:
Working closely with the Facilities Coordinator and Reception Manager, the Facilities Office Assistant will play a key role in maintaining the functionality of office equipment, physical space, and processes essential for supporting our internal customers and external supply partners.
**Key Responsibilities as a Facilities Office Assistant**:
- Administer the onboarding and offboarding process for employees, including welcome packs, locker assignments, and form tracking.
- Support Health & Safety requirements by monitoring first aid supplies, conducting floor surveys, and assisting with annual record-keeping.
- Assist with team finance administration, including scanning, filing, and tracking invoices from suppliers.
- Provide coverage for the Reception Manager during breaks and annual leave, managing switchboard calls, greeting guests, and supporting meeting room requirements.
- Collaborate with the Reception Manager on catering, meeting room setup, and event coordination.
- Offer administrative, operational, and coordination support to the Reception Manager as needed.
- Conduct daily checks on office floors to ensure systems and equipment are in working order.
- Monitor stationery supplies, create order lists, and manage stock upon delivery.
- Liaise with third-party suppliers to support regular service visits, coordinating access with the building management team.
- Maintain and update help desk records for Facilities job tickets raised via Service Now.
- Work with IT to ensure all printers are maintained and issues are promptly resolved.
**Desirable Qualifications**:
- GCSE Level or equivalent in Maths & English
**Experience**:
- Previous experience in a similar role as part of a Facilities team in a corporate office environment.
- Administrative support experience in an office setting.
- Experience working with and supervising contractors and suppliers.
- Proven ability to deliver excellent customer service with a flexible approach.
**Functional/Technical Competencies**:
- Strong numerical skills with the ability to read financial information.
- Excellent organisational skills, including the ability to multitask, meet deadlines, and manage expectations.
- Attention to detail, ensuring accuracy in all activities.
- Strong communication skills, both verbal and written.
- Customer-focused with the ability to understand and meet stakeholder needs.
- Team player with excellent interpersonal skills and the ability to build strong collaborative relationships at all levels.
