The Facilities Coordinator participates to the day-to-day operations of the mailroom and facilities/ office building. They maintain the upkeep of the office building

Job Description:
Role: Health & Safety Coordinator

Reporting to: Facilities Manager

Overall objective:

- To ensure that the offices at Havas Village London are presented to an exemplary standard and that the health and safety of our staff, clients and suppliers is at the forefront of our thinking
- To make sure that the DSE assessment software is working correctly
- To ensure all DSE assessments and activities are undertaken and closed out in a timely manner
- Work as part of the Building Services team adding value and an excellent level of service to the clients and staff in the building
- DSE
- Ensure the DSE software is always fully functional
- Owning the relationship with the software provider to maintain the above
- Liaising with software provider and IT department to close out any issues as they arise on the software
- Ensure DSE and New & Expectant Mother (NEM) assessments are being carried out in a timely manner
- Undertake DSE assessment reviews
- Ensure actions from assessments are closed out swiftly
- Stock control for home and office working equipment
- Reporting on assessment and equipment metrics
- Keep supporting documentation up to date
- Ensuring filing is organised and auditable
- Health and Safety
- Ensuring that HVL is a safe and healthy environment
- Use and monitor our H&S compliance reminder software, rectifying any issues and resetting any reviewed document reminders
- Work alongside the Facilities Team to co-ordinate evacuation drills
- Undertake Personal Emergency Evacuation Plans (PEEPs)
- Spotting and remedying or reporting H&S deficiencies
- Assist in management of sufficient training of Fire Wardens & First Aiders
- Assist the Facilities team in carrying out Personal Risk Assessments for staff with Severe Health Conditions.
- Work with our H&S Consultants
- Building Services Team
- Co-ordinating the Building Services helpdesk system. Ensuring calls are delegated and answered in a timely fashion
- Helping to innovate and improve systems
- Helping create/administer access control passes when required
- Undertake office moves with the Building Services team
- Answering the Building Services phoneline and delegating tasks accordingly
