**PURPOSE**
- Work with colleagues in Childrens Services to improve the quality of service for children, young people, and their families in Wirral. Also, ensure high-quality administrative support by complying with corporate policies, including financial reporting, information collation, communication, and auditing procedures, to meet statutory requirements.

**MAIN** **DUTIES** **AND**

**RESPONSIBILITIES**:

- Responsible for the development, operation, and delivery of comprehensive administrative support across the service, ensuring deadlines are met and tasks are completed to a high standard, including minute taking. Minute-taking responsibilities include capturing, organizing, and distributing minutes of meetings and events, incorporating previous minutes where relevant, adhering to SFEF principles, and identifying red, amber, and green cases. Additional responsibilities include sending invitations, preparing and inputting agendas and associated papers, booking and setting up rooms, circulating minutes, and coordinating refreshments, as well as progressing follow-up actions. The role also involves ensuring that all minutes of meetings are completed and distributed in line with relevant policies and procedures.
- Responsible for developing and updating electronic and paper systems for filing stored data, and taking a lead role in data capture and reporting. Provide informal, on-the-job, training, professional support, and guidance to administrative staff across the service. Assist in the development of administrative staff key skills and abilities through sharing expertise and knowledge with others, recognizing own strengths and areas of expertise, and using these to advise and support others. Support in maintaining accurate financial records to aid service management financial planning, forecasting, and expenditure.
- Supporting the recruitment process, including adhering to safer recruitment requirements such as conducting DBS/reference checks, coordinating interview schedules, administering inductions, managing employee performance, and delivering training and mentoring to staff across the service.
- Overseeing procurement operations and ensuring compliance with auditing procedures, while also reporting any financial risks to service management.
- Contributing to the development and implementation of effective marketing and promotion strategies for the service, including organizing events, conferences, and information networks.
- Where relevant, assisting with the management of facilities.
- Ensuring that appropriate licenses, insurance, service contracts, and operational procedures are secured.
- Performing key holder responsibilities.
