To carry out admin and clerical duties within the breast unit to support the Breast Care Nurses. You will nee d to be hard working, efficient, possess IT skills, be friendly and helpful to both staff and patients.

Working closely with the breast care nursing team, manning the breast care nurse telephone, directing the calls appropriately to the nursing and wider team.

Retrieving answerphone messages from patients or relatives and dealing with their queries.

Acting in a professional manner and offering support to patients and nurses as needed.

Work as part of a multi disciplinary team including nurses, doctors and administration staff, within agreed boundaries of the role.

Be proficient with various IT systems to competently document patient data.

Deal with patient appointment bookings.

Coordination with prosthesis teams and ordering of stock.

To provide complete administrative support for the Breast Care nurse team including, filing, photocopying, opening post and dealing with correspondence prioritising workload and using own initiative when appropriate

To obtain personal and confidential data from patients or their representatives and accurately record this manually and input data into computer systems.

To retrieve BCN answer phone messages and receive telephone calls from patients and their relatives relating to outpatient appointments; queries re their care and to deal with these calls and act in a professional, helpful, and polite manner.

To deal with all personnel that attend the office to resolve problems, queries, and complaints, as necessary.

To follow laid down procedures regarding registration and amendment to patients’ personal data.

To follow laid down procedures relating to distribution of appointment requests to Consultant Medical Staff.

To make, chase, amend, cancel, and reschedule, appointments on computerised and manual systems, adhering to specified clinic rules.

To liaise with medical records team and appropriate use of Careflow EPR system.

To liaise with the complete multi
- disciplinary team to ensure maximum service provision at all times.

To ensure that all BCN outpatient attendees are recorded and outcome completed appropriately on Careflow.

To participate in training/induction of new staff

Have the ability to interact appropriately and effectively with patients, all levels of management and staff, ensuring a high level of confidentiality is maintained at all times.

Identify patient investigations performed and chase reporting of these with the appropriate department.

Input data on national and local databases and keep these records up to date.

Be competent in the use of computers with particular emphasis on Microsoft Office; Word; Excel, PowerPoint and Outlook
- e mails.

Order and maintain prosthetic stock liaising with patients and company fitters. Organisation of the prosthetic clinics. Post products to patients as needed. Maintain an awareness of the new products and forge working relationships with prosthesis companies.

Track oncology referrals and appointments liaising with oncology department at both KGH and NGH. Chase referrals and highlight any patient not allocated an appointment within a timely manner.

Support Maintenance of stock of patient information leaflets (local and national) within the Breast Care Department.

Act on Cancer Patient unplanned hospital arrival alerts to investigate reason for admission and inform BCN of any relevant admission.

Liaise with BCN prioritising any urgent concerns.

Assist with data collection for audits.

Any other duties commensurate with the grade of this post at request of BCN.

**EDUCATION AND TRAINING**:
Participate in relevant training events as required.

Undergo an appraisal with your line manager annually.

Ensure that all mandatory training is adhered to in line with trust policy.
