Overview: As an SQP Veterinary Receptionist, you play a pivotal role as the first point of contact for clients visiting or contacting the veterinary clinic. This position combines the responsibilities of a Veterinary Receptionist with the specialized knowledge and qualifications of a Suitably Qualified Person (SQP). Your primary objective is to provide exceptional customer service while efficiently managing administrative tasks and offering expert advice on animal health and medications in compliance with UK regulations.
**Responsibilities**:
- Client Interaction:
- Greet clients warmly and assist them with inquiries, appointments, and admissions.
- Provide expert advice on over-the-counter medications, supplements, and preventive healthcare products.
- Ensure compliance with legal requirements and regulations governing the sale and dispensing of veterinary medications.
- Appointment Scheduling:
- Schedule appointments accurately using the clinic's scheduling system.
- Coordinate appointments to optimize clinic workflow and ensure adequate time for each patient.
- Remind clients of upcoming appointments and follow-ups as necessary.
- Administrative Duties:
- Manage client records and databases, ensuring accuracy and confidentiality.
- Process client payments, handle invoicing, and manage financial transactions.
- Maintain inventory of veterinary products, including medications and supplements, and place orders as needed.
- Assist with filing, scanning, and organizing documents in compliance with regulatory standards.
- Medication Dispensing and Compliance:
- Dispense medications and products under the supervision of a veterinarian, adhering to legal and professional guidelines.
- Provide accurate information regarding dosage, administration, and potential side effects of prescribed medications.
- Educate clients on the importance of medication compliance and follow-up care for their pets.
- Client Education and Communication:
- Offer guidance and advice to clients on various aspects of animal health, nutrition, and preventive care.
- Communicate test results, treatment plans, and post-care instructions to clients in a clear and empathetic manner.
- Address client concerns and inquiries with professionalism and empathy, escalating issues to the veterinary team when necessary.
- Regulatory Compliance:
- Stay up-to-date with UK regulations and industry standards governing the sale and dispensing of veterinary medications.
- Ensure compliance with legal and ethical guidelines, including record-keeping, reporting, and documentation requirements.
- Participate in ongoing training and professional development to maintain SQP certification and enhance knowledge in relevant areas.
Qualifications:
- Previous experience in a veterinary receptionist role or customer service position preferred.
- Excellent communication skills, both verbal and written, with the ability to communicate complex information effectively.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
- Proficiency in computer skills and familiarity with veterinary practice management software.
- Compassion, empathy, and a genuine interest in animal welfare and client satisfaction.
