An exciting opportunity has arisen for a Part Time Front of House Administrator to join our team on a permanent basis.

**Brief Description of Position**

To be the ambassador of Valeo Foods UK for all employees, customers and external visitors to site and to ensure that everyone coming through our UK HQ receives a positive visiting experience, and to provide administration support to facilitate the smooth running of the reception area, office facilities management and the HR function.

**Key Responsibilities**
- Answer telephone calls, process mail and receive deliveries in a friendly, prompt and professional manner - answer queries, field calls and direct as appropriate.
- To be the face of the business for all visitors to site and to ensure anyone passing through our offices is greeted courteously, completes necessary paperwork and is looked after during their visiting experience.
- Maintain high housekeeping standards, display appropriate visual branding & certificates and manage the visitors’ books, and to ensure the board room is always well presented.
- Office facilities management - to manage the day to day external office cleaning contract; maintaining service standards, regular liaison and feedback to the provider and their on-site team, maintain hygiene standards and replenishment of kitchen & toilet facilities, recycling bins for the site, process invoices and manage the service level agreement.
- Business stationery ordering.
- Packing of hampers and gift packs as requested via charitable requests, customer and employee orders.
- Maintain phone lists, weekly itinerary, departmental team boards and update Share-point and the canteen audio stream for the business, and to co-ordinate the Factory weekly news-letter.
- Ensure kitchens and other communal areas are kept well stocked, including clean crockery and glassware etc.
- Order lunches from relevant external suppliers when required and assist with refreshments when necessary.
- Complete, track and monitor all PO’s for the HR & Training team.
- Any other ad hoc admin support as required.

**Qualifications**
- Outstanding customer service skills both face to face and over the telephone. A cheery and positive disposition and an ability to talk confidently and professionally to people at all levels are a must for this role.
- Excellent written English and a working knowledge of Microsoft Office is beneficial to the post.
- Brilliant communicator with positive ‘can do attitude’, sensitive, approachable and confident manner with all colleagues and managers.
- Good attention to detail, ability to take accurate messages and to capture accurate data.
- Multi-tasker who can work efficiently and prioritise their own workload in this largely autonomous role.
- Must have strong people values, ethics and integrity in line with our ASPIRE values and behaviours.
- Ability to manage sensitive and confidential information and maintain absolute discretion at all times.
