- **Equans is looking for a Regional Administrator** **to join our team, based in Bellshill**,** **on a **permanent** **basis. This is a **part time **role working** 20 **hours per week (08:00 - 12:00, 5 days a week). On offer is a **competitive salary,** **alongside a company benefits package.**

**Overview**:
To be an integral member of the sites Business Support team delivering all Office Services. To support the delivery of a professional and efficient business support to the Site Service in line with the contractual requirements, Health & Safety, Training & KPI’s.

**Key Deliverables**:

- Prepare planned maintenance schedule - either direct labour force, sub-contractor attendance or a mixture of both using Plan-on and Sub-contractor Maintenance Planners.
- Maintain Sub-contractor Maintenance Planner and/or MMP for the Regional office.
- Providing written quotations to customer for extra works, from PPM and reactive jobs once fully costed by Contract Managers.
- On approval from the customer raised quotations in SAP using agreed processes and ensuring upload of all relevant documents to SAP. Inform invoicing teams of work completion to enable timely invoice for works completed unless invoiced directly.
- To service meetings including preparation of monthly Management Information reports containing statistics monitoring performance standards.
- Process supplier and sub-contractor invoices and raise purchase orders in a timely manner for PPM works and quoted works when required to do so as part of the role.
- Financial contract responsibilities including WIP and debt management - includes pricing completed work and raising Applications and invoices to the client on a regular basis if required as part of the role.
- Ability to liaise with subcontractors and plan in service visits, obtaining RAMS and other pre-requisite documentation ahead of site visits and follow up for supporting evidence on completion of works.
- Ability to use IT packages to an intermediary level, including Microsoft Office systems to record and maintain department records.
- Provide a routine clerical and administrative support to the team using in-house systems.
- Clerical work may include: Word processing, Mail sorting and delivery, Statutory Document collation and distribution, data input and filing both hardcopy and electronically.
- Being able to work in an efficient and accurate manner, prioritising your workload to ensure that all deadlines are met.
- Undertake any other relevant duties required from time to time, as reasonably corresponds to the general character of the post and is commensurate with the level of responsibility
- Support the Operations Managers & Account Manager on individual projects as required.
- Working within an operational environment, meeting deadlines regularly and maintaining communication with all involved.

**Required experience/Skill set**:

- High level of competency in office related IT systems.
- Experience in planned maintenance/Facilities Management.
- Excellent organisational skills.
- Ability to prioritise & work effectively under pressure.
- Good, rounded experience of planned maintenance requirements.
- Ability to communicate effectively both verbally and in writing.
- Good problem-solving ability.
- Ability to work on own initiative and to prioritise a varied and demanding workload.
- Ability to handle confidential information.
- Accuracy with al data input.
