To provide an effective day-to-day clerical support to facilitate the smooth running of the ward under the direction and supervision of senior colleagues. This job role covers clerical duties meeting and greeting staff, patients and visitors, the movement of case-notes around the trust and the provision of, preparation of and maintenance of patient case-notes.

Previous experience of working within an NHS environment is desirable but not essential, as full training will be provided. We are looking for a caring & compassionate individual with a passion for making a real difference. As the receptionist you are the first port of call & to represent the trust and their values.

A professional and sensitive manner is required as the post holder will be liaising with patients daily requiring courtesy, discretion, & confidentiality always, to project a positive, efficient, friendly image to our patients and other professionals.

The successful applicant should be friendly, welcoming, good communication skills, literacy, numeracy, IT skills, good organisational skills & able to work accurately & methodically as part of a team or on your own.

Normal routine clerical duties, e.g. filing, charting, making lists, completing forms.

Answering telephone, taking messages and enquiries regarding patients' condition after consultation with ward nursing staff and to adhere to the data protection as per policy.

Operate patient administration computer system and ensure computer system is up to date at all times with details of all patients currently on the ward.

Ensure all patient details on the computer are correct

To ensure that all patient discharges and transfer details are recorded on the computer as soon as possible after the event.

To ensure that that all patients admission, transfer and discharge details are recorded in a timely manner.

Maintain an adequate supply of stock levels to maintain the smooth running of the ward.

Be responsible for ensuring that case notes are available, file it as per protocol, maintain them in an orderly manner and return them appropriately after discharge letters are completed for coding purpose.

Notify Next of Kin of patients' admissions and (emergency) transfers if required by ward staff.

Communication

Answer the telephone in a timely and courteous manner; ensuring appointments are made efficiently whilst dealing with the public and in a professional and sensitive manner.

Provide information either in person or over the phone to visitors regarding ward routine, infection control, procedures and patient condition updates, where they may be barriers to understanding, as provided by the nurse in charge.

To collect essential information either via the telephone or directly and communicate with the appropriate member of the ward team.

To receive and make telephone calls as needed and as directed by the ward staff.

To handle difficult situations in a calm and professional manner.

Make all referral appointments in accordance with the templates and in chronological order, setting or adjusting templates as requested.

Negotiate with patients to book a suitable appointment within the national guidelines, dealing, sympathetically with patients where there may be barriers to understanding.

To receive and direct patients, visitors and staff visiting the ward.

As directed by the nurse in charge, contact GP surgeries and other external agencies to obtain patient related information.

Deal with difficult and challenging patients and relatives in a calm and polite way.
