**Overall responsibilities of role**

**Office Administrator / Lettings Progressor - _Main duties -_**

**Progression -**
- To progress deals made by Lettings Negotiators through to move in
- Ensure AML checks on landlords & tenants are on file
- Produce contracts and arrange for signing and sending handover documents to new tenants
- Keep information up to date on lettings management system
- Ensure all legal requirements are in place prior to issuing keys to tenants and during tenancy
- Handover files to property management team as necessary for managed properties
- Monitor and refresh marketing information online and in the shop window
- Maintain paper files and archive in accordance with legal requirements
- Ensure key system is up to date on software and corresponds with Key Tracker Board

**Renewals -**
- Manage renewal process for all rented properties - liaising with Lettings Manager as necessary
- To deal with all name changes during tenancies

**General administration -**
- Ensure office and kitchen areas are kept tidy
- Monitor office supplies and order stationary/office refreshments as necessary
- Produce minutes of weekly meetings
- To promote CH Peppiatt in a professional manner at all times
- To undertake any other administrative duties as necessary
- To stay up to date with legislation affecting the lettings and wider property industry
- Any other duties as reasonably requested

**Person specification (essential and desirable)**

**Qualifications -**
- GCSE Maths and English at grade C / level 4 or above (or equivalent)
- Understanding of legislation affecting the lettings industry would be desirable

**Experience -**
- Previous administrative skills are essential
- Experience as a Lettings Administrator would be an advantage

**Skills**
- Strong numerical skills
- Excellent IT skills, including use of excel and databases
- Ability to work quickly and accurately under pressure
- Flexible and able to prioritise a changing to do list
- Commercial awareness
- Able to work independently but also as part of a team
- Strong interpersonal skills, with the ability to build immediate rapport is essential
- Ability to communicate clearly on the phone and in writing
- Resilience
- Excellent attention to detail

**Other requirements**
- Eligibility too work in the UK
- Flexible approach to working hours, including ability to work in the evening if necessary

**Salary**: Up to £26,000.00 per year
