**Job Title**: Administration Assistant

**Reporting to**: Director of the company (Woodvale Tree Care Limited)

Part Time: 9am to 3pm (the start & finish times are flexible, and the position is office based in
Weybridge, Surrey)

**General Description**:
An articulate person that can work under pressure, to assist in the smooth day to day running of the office so that the administration requirements of the business are met.

**Work Experience required**:
A background of working in general administration with experience of both Microsoft Word and
Excel an advantage
Used to working as part of a team as well as on their own initiative.

**Educational Experience required**: GCSE or equivalent or above
- Answer the incoming calls, create a new customer profile and deal with requests.
- Scheduling the quotes and accepted jobs to our crews using “BigChange”
- Creating quotations and sending to clients
- Following up quotations with clients
- Creating risk assessments and method statements
- Creating invoices for completed jobs and sending to clients through “BigChange”
- Chase any outstanding invoices along with liaising with our bookkeeper
- Finding and completing Prequalifying questionnaires for commercial clients
- Manage Vehicles (Book services, MOT and Tax)
- Book plant in for servicing
- Manage the Fuel card account
- Manage marketing accounts
- Manage staff files and on boarding of new staff
- Manage Holiday diary for staff
- Book training and update training matrix
- Create toolbox talks and attendance forms
- Update policies and send to clients when renewed
- Create company procedures
- Complete new account forms
- Support accreditations and audits
- Manage office, order stationary & provisions
- Manage the Atlas platform
- Compile receipts for our bookkeeper

**Personal Qualities**:
Willingness to respond positively to new challenges together with a calm approach would be a strength to our business.

**Salary & Benefits**:
£24,000 to £27,000 per year (depending on experience)
20 days holiday (pro rata) + Public Holidays
Bespoke software training (BigChange & Altas) and additional support will be provided

**Job Types**: Full-time, Part-time
Part-time hours: 30 per week

**Salary**: £24,000.00-£27,000.00 per year

Schedule:

- Day shift
- Monday to Friday

Ability to commute/relocate:

- Weybridge: reliably commute or plan to relocate before starting work (required)

**Education**:

- GCSE or equivalent (required)

**Experience**:

- Customer service: 1 year (preferred)
- Administrative experience: 3 years (required)

**Language**:

- English (required)

Licence/Certification:

- Driving Licence (preferred)
