The Chief Medical Officer’s Office is responsible for managing and developing the systems that have been put in place to support the Chief Medical Officer in her role as Responsible Officer for the OUH and the Executive accountable for job planning.

The post of Medical Revalidation and Job Planning Administration Assistant provides a vital support role to the successful management of this work. The role combines provision of a detailed and customer focused administrative service with strong technical support across a variety of systems used to support Revalidation and Job Planning processes at the Trust.

1. Provide comprehensive administrative support to the Medical Revalidation and Job Planning Manager to deliver the day-to-day running of Revalidation and Job Planning, key tasks including (but not limited to): 1. Updating the online revalidation and job planning system (SARD) with a variety of confidential information
2. Creation and verification of Prescribed Connections including liaising with colleagues in HR to resolve queries and verify starter / leaver queries under direction from the Medical Revalidation and Job Planning Manager.
3. Inputting patient feedback data, creating reports and dealing with basic Multi Source Feedback enquiries.
4. Assistance with Medical Revalidation Portfolio preparation as directed by the Medical Revalidation and Job Planning Manager. This will primarily involve chasing in documentation and contacting other organisations to provide references as well as collating information for review.
6. Maintaining paper and electronic filing systems efficiently and accurately
8. Assistance with ad hoc projects such as audits, data cleansing or production of public relations material as directed by the Medical Revalidation and Job Planning Manager.
2. The post holder will work closely with internal departments and other employing organisations (Trusts, Local Education and Training Boards) to ensure efficient and effective data transfer to support Medical Revalidation and Job Planning, ensuring data quality and protection guidelines are complied with. This could include visiting other departments to check information or working with data supplied by other teams to produce reports under the supervision of the Medical Revalidation and Job Planning Manager or the Revalidation and / or Job Planning Systems Co-ordinators.
3. The post holder will assist with information gathering to ensure that daily enquiries regarding Medical Revalidation and Job Planning can be responded to efficiently and effectively.
4. The post holder may be required to assist the Medical Revalidation and / or Job Planning Systems Co-ordinators with ad hoc tasks which support service delivery.

Information Management
1. The post holder will work collaboratively with the Medical Revalidation and Job Planning Manager and Medical Revalidation and Job Planning Systems Co-ordinators to manage the personal and sensitive data recorded for the delivery of these processes in accordance with Data Protection laws as prescribed by the OUH and the GMC.
2. The post holder will use Microsoft Office packages and the bespoke online system, SARD, to track and update data relating to Medical Revalidation and Job Planning.

Meetings and Events
1. Working under the direction of the Medical Revalidation and Job Planning Manager, the post holder will, when requested, provide administrative support to the organisation of meetings. This could involve identifying dates and booking venues, formatting and circulating papers, and maintaining up-to-date distribution lists.

This could involve identifying dates and booking venues, formatting and circulating papers, maintaining attendance lists, preparing and issuing attendance certificates, assisting with the preparation of presentations and training materials, ordering catering and setting up rooms.
