**The opportunity**

The Reading office is made up of approximately 80 people working in Town Planning, Architecture, Masterplanning, Landscape, Graphic Communication and Practice Management. The office is located in a modern, open-plan and high-quality premises in Central Reading. The office is just 5 minutes’ walk from Reading train station, and is an exciting, dynamic, and sociable place to work.

We are looking for a Receptionist/office administrator to join our Reading office as a Regional Support Assistant (Band 1), providing support to our Reading office (where you will be based) and the national regional support hub.

Whilst this provides a list of main duties, it is not exhaustive and responsibilities may vary depending on office, discipline and regional requirements, and/or other secretarial/administrative support in that team and/or office and/or region.

**To have an impact in the role, you will complete**:
Reception duties:

- Professionally welcoming clients and visitors to the office
- Handling all incoming calls (via Microsoft Teams - training to be provided), taking messages and dealing professionally with queries
- Managing post and couriers
- Booking meeting rooms via Microsoft Outlook, setting up and clearing away refreshments, setting up conference calls via Microsoft Teams
- Ordering lunches for meetings with external catering company
- Monitoring and ordering of kitchen/stationery supplies
- Assisting with keeping the office presentable

General secretarial and administrative support:

- Typing and formatting letters, reports and all other correspondence (training will be provided)
- Collating documents, photocopying, printing, scanning and binding
- Liaison with third parties such as the external printing company and catering company
- Assisting with travel and accommodation arrangements, as required
- Arranging meetings, external and internal
- Ordering / maintaining office supplies (to include keeping stationery cupboards neat and tidy)
- Opening new jobs via Deltek (training will be provided)
- Updating office documents, including the phone list and organisation chart
- Working collaboratively with the Office Support team with workload and ad hoc projects and tasks
- Any other duties required for the efficient and professional functioning of the office and/or regional support team

**Team and Office support**:

- Work cooperatively with the Office Support team to provide secretarial/admin/receptionist cover, as required to support with the efficient functioning of the team/office
- Committed to delivering high quality secretarial and administrative support in a flexible, pro-active and value-added way as part of the Regional Support team and the National Support team
- Has a positive attitude to change; is flexible and adaptable and has a willingness to learn.

**To succeed in the role, you will**:

- Have an ability and willingness to work cooperatively, collaboratively and professionally with other Support colleagues to provide secretarial/admin/receptionist cover to ensure the efficient functioning of the team/office;
- Be committed to delivering high quality secretarial and administrative support in a flexible, pro-active and value-added way as part of the local, regional and national Support team;
- Have strong organisational and prioritisation skills;
- Be able to use own initiative and work independently to manage workload, meet deadlines and work well under pressure;
- Have a strong team capability and work collaboratively with fee earner, Support and Practice Management colleagues;
- Have strong written and verbal communication skills;
- Be a self-starter and committed to providing a high level of service;
- Have a ‘can-do’ approach, strong work ethic and the ability to multi-task;
- Have good attention to detail, have a willingness to learn; and,
- Be proficient with Office, including Word, Excel and Outlook. PowerPoint and Microsoft Teams experience
