We are looking to recruit a Clinical Rota Planner to join our friendly and supportive GP practice team.

We currently serve a population of over 38,000 patients in four locations; Kingsway Health Centre our main site, Rosebank Surgery & Bartongate Surgery based in the city centre of Gloucester and Severnvale Surgery at Quedgeley. The successful applicant may need to work at all four surgery sites.

**Key responsibilities**:
Clinical Planning

Plan sessions/appointments for clinical staff ensuring the appointments are booked as efficiently and equitably as possible, ensuring all sites are covered.

Ensure new staff have clinical sessions templates set up correctly.

Arrange for the clinical planner to be circulated to relevant staff.

Respond to requests to change the clinical planner from colleagues and as a result of staff absence.

Inform all relevant staff of clinical staff absence.

Call or send text messages to patients when appointments need to be cancelled.

Ensure reception staff contact patients to rearrange appointments that need cancelling either directly or via the Patient Services Manager or Senior Receptionists.

Allocate clinical rooms at all surgery sites ensuring each clinician has access to the correct working environment.

Record GP Holidays, time off and course attendances.

Arrange locum cover when needed either direct or through agencies

Enhanced Access rotas and reporting.

Flu clinic planning.

Vasectomy Clinic

Book vasectomy appointments from Choose and Book and direct clinician referral

Produce the paperwork required for vasectomy clinics including ICE forms, sample pots, letters to own GP and consent forms.

Allocate vasectomy related work to reception staff and monitor the quality of this work

Negotiate clinician availability and holiday cover.

Contact patients and provide them with information as needed. Answer patient queries in a supportive manner.

Contact patients at the request of clinicians to book appointments following tests and other investigations.

Contact patients at the request of clinicians to inform them of their test results as directed by clinicians.

Minor Surgery

Book minor surgery appointments

Contact patients and provide them with information as needed. Answer patient queries in a supportive manner.

Person Specification for Clinical Rota Planner

Knowledge, Training and Experience

Essential

Have an understanding and experience of working in the NHS with detailed knowledge and understanding of the roles of NHS organisations and of the primary care sector

Experience of working in general practice

Sound general education including GCSE grade A to C in English and Maths

Understanding of and commitment to equality, diversity and inclusion

Desirable

NVQ in relevant topic

Experience in presenting information/data to groups/within a meeting.

Communication

Essential

Excellent communication skills both verbally and written.

Experience of developing working relationships with colleagues and members of the public

A proven ability to deal effectively with difficult and contentious situations whilst maintaining positive working relationships

Demonstrates a strong desire to improve performance and make a difference by focusing on goals

Desirable

Experience in presenting information/data to groups/within a meeting.

IT Skills

Essential

Excellent working knowledge and confidence in using common software packages - especially Microsoft Excel

Demonstrate willingness and experience in undertaking administrative tasks including taking meeting minutes

Desirable

European Computer Driving Licence (ECDL)

Working knowledge of general GP practice clinical systems and willingness to undertake further training
