Our Charity’s Community Services are provided in the Almshouse accommodation at Blackheath and at Ralph Perring Court in Beckenham, through the vibrant communal space in the John Morden Centre and the case management approach that proactively identifies, assesses, and supports the most vulnerable in our community. Our residential care home, Cullum Welch Court (“CWC”), provides personal nursing and dementia care 24/7. With 32 beds, it is small enough to maintain a personalised service to its residents, yet large enough to provide the facilities required to meet their range of needs.

**JOB PURPOSE**

Your role as a receptionist is to give an excellent first impression of Morden College, by delivering professional and comprehensive administrative support and to ensure that Morden College’s residents, visitors and colleagues benefit from a friendly and efficient service.

**KEY RESPONSIBILTIES AND DUTIES**
- To meet and greet Morden College residents and visitors.
- To conduct regular walks around the reception area ensuring that this is always tidy and clean.
- To manage the bookings of guests’ flats, training venues and events including producing detailed function sheets, receiving payments and notifying the relevant departments.
- To monitor and maintain the stationery stock; ensure that stationery and supplies are stored in a secure and safe way; arrange weekly stationery orders ensuring that deliveries come in as scheduled and are received by the relevant department in a timely manner; processing invoices promptly and efficiently.
- To receive and process payments for trips, meals, etc. in line with Morden College policies.
- To undertake any other administrative duties at the request of the line manager which are commensurate with the role, including project work, absence cover and taking part in College events.
- To brief colleagues and line manager at the beginning and at the end of the work week to ensure consistency and a smooth running of the operations.
- To ensure that any personnel recruited or seconded to support Reception are fully trained and able to undertake all duties in the absence of the post holders.
- To assist in the administration and planning of events including but not limited to Founders Day and Trustees Christmas Lunch and support their execution
- To respect the dignity, well-being and independence of residents and bring to the attention of the Management Board any concerns surrounding their safeguarding, security or care.
- To contribute to close working relationships with all personnel and to help to build an open, honest and happy culture that facilitates learning, creativity and excellence of delivery.
- To be empathetic and courteous to residents and their relatives, treating them with care and consideration at all times and referring any issues or incidents directly to management/nursing staff as appropriate.
- To operate in accordance with the College’s policies and procedures as detailed in the Staff Handbook and elsewhere and ensure compliance with Safeguarding Adults policies and Care Quality Commission legislation.
- To work in accordance with the Health and Safety at Work Act 1974 and related College regulations; understanding the health and safety policy and ensuring that care is taken to protect the health, safety and welfare of residents, staff and visitors in Morden College. This will include reporting of faulty equipment to the relevant manager.
- To ensure compliance with the General Data Protection Regulations 2016 and Data Protection Act 2018.

**SKILLS, QUALIFICATIONS AND EXPERIENCE**
- Good numerical and literacy skills to GCSE standard or equivalent.
- Experience of working in a customer facing role within an office environment.
- Experience of dealing with the public on a daily basis.
- Developed IT skills.
- Knowledge and understanding of basic office procedures.
- Ability to work independently as well as part of a team.
- Strong verbal and written communication skills.
- Excellent administrative and organisational skills.
