To provide effective reception, administrative and clerical support to ensure the smooth running of the reception and the Practice as a whole, enabling patients to receive a service that is efficient and sensitive to their needs and supporting the clinicians to deliver excellent patient care.

Reception and administrative
- Receive patients at reception with courtesy and efficiency and provide a helpful response to all enquiries received.
- Explain services available in the to patients including those outlined in the practice leaflet
- Record patients attending appointments on Practice computer system (EMIS) and any other format
- Make appointments for patients and clinicians as requested on Practice computer system (EMIS).
- To deal with routine verbal information, requests from patients and other callers in person and on the telephone.
- Ensure that prepared prescriptions are filed correctly for collection and when handing over to patients ensure that the correct prescription is given to the correct patient.
- Register and document patients details in accordance with Practice policy.
- To monitor and maintain the display areas of reception, and to update information for Practice and other local resources as necessary following the ELFT information board process and local process where applicable
- To take initiative with solving problems by liaising with other colleagues or passing them on as appropriate

The Greenhouse Practice provides care to people living in hostels or supported accommodation, rough sleepers, and people who spend a significant amount of time on the street or in other public places. We also support the hidden homeless, such as people in squats or ‘sofa surfers.’

Greenhouse GP practice is run by the Trust in partnership with Groundswell, a charity which works with homeless and vulnerable people. Both organisations have considerable experience of the challenges which face homeless people and in supporting vulnerable individuals. The practice consists of doctors, nurses and administrative staff.

Premises
- To take responsibility for Track and Trace for incoming staff, visitors and visitors in line with current Pandemic Guidelines and any future occurrences of similar nature
- To book and receive visitors, verify identity and accompany to destination within building if required. Ensure visitors do not have access to unauthorized areas without supervision
- To take responsibility for maintaining professional and tidy appearance of reception and waiting room areas.
- To prepare rooms and organise catering for meetings as required
- To ensure all clinical rooms are well stocked for stationery and prescriptions
- To contribute to ensuring security of the Practice in general, shutting windows and locking doors as necessary.
- To make sure entrance and exit doors are locked by the last one to leave.
- To ensure correct use of all office equipment and report back to Practice Administrator as necessary for maintenance.
- To be responsible for reporting concern with Practice working conditions to Practice Administrator immediately, to ensure conditions are in line with Trust policies e.g. Health and Safety.
- Report problems i.e. heating, plumbing, power supply etc to NHS Property Services
- Ensure practice area is kept as per Health and Safety guidelines i.e. display of caution board on a wet floor etc
