Loft Studios is west London's premium Venue and Studio Hire complex; with 6 unique Studios, 2 large secluded courtyards, and 3 private suites, perfect for all event types from weddings and private celebrations, through to product launches and music events.

As the Events Assistant you will be supporting the Events Managers with the administration, facilitation and co-ordination within the department. You will work closely with event managers on the planning process from concept to execution, ensuring that each task of the planning process is completed. Each week you will collate the event information forming the information pack to send out to all crew and suppliers. You will assist Events Managers on recce’s, production meetings and on live event days predominantly on weekends. This position gives you the opportunity to grow your skills within the department and as an events professional.

**Role & Responsibilities**
- Collating the Event Managers floor plans, staffing spreadsheet, production sheets and equipment picking lists
- Ordering equipment, prop hire and stationery, along with managing associated documentation and payment
- Book event staff for future events, penciling crew one month in advance and keeping note of availability
- Maintaining Event process for weekly catch-up meetings
- Updating the calendar with payment schedule for confirmed events
- Creating client folders & updating during the planning process
- Inputting costs into excel for budget management
- Maintaining the invoice filing system
- Assemble the event folder (timesheets, Duty Manager pack and risk assessments)
- Liaise with Warehouse Coordinator regarding stock levels, ordering and picking lists
- Assist on live events alongside the Events Mangers
- Sourcing imagery/testimonials from past event for socials & website
- Assist the scheduling of Instagram, Facebook and Pinterest posts
- Research new venue search engines & marketing opportunities & present findings

**Skills**
- Highly proficient in Excel and Microsoft Office
- Experience working In-Design and Smart Draw advantageous
- Technically efficient using Apple Macs and related software
- Social Media experience
- Passion for events and exceptional customer service
- Excellent organisational and time management skills
- Ability to work well under pressure while maintaining a positive attitude
- Minimum 40 hour working week over 5 days with additional weekend work._
