As the Executive Assistant to the Director at MAH Construction Group, you will play a pivotal role in providing high-level administrative support to the Director, facilitating seamless operations within the organization, and ensuring effective communication across various departments.

**Key Responsibilities**:

- **Calendar Management**: Efficiently manage the Director's schedule, including prioritizing appointments, meetings, and site visits related to construction projects. Coordinate and schedule appointments both internally and externally, taking into account project timelines and deadlines.
- **Project Coordination**: Assist in coordinating construction projects by liaising with project managers, engineers, architects, and subcontractors. Track project milestones, deadlines, and deliverables to ensure timely completion. Attend project meetings, take minutes, and follow up on action items as necessary.
- **Documentation and Reporting**: Maintain accurate records, files, and documentation related to construction projects, permits, contracts, and regulatory compliance. Prepare reports, presentations, and proposals as needed, utilizing construction industry terminology and standards.
- **Site Visits**: Accompany the Director on site visits to construction projects, providing logístical support and assistance as required. Take notes, document progress, and address any issues or concerns raised during site inspections.
- **Vendor Management**: Assist in managing relationships with construction-related vendors, suppliers, and subcontractors. Coordinate procurement activities, negotiate contracts, and ensure adherence to budgetary constraints and quality standards.
- **Administrative Support**: Provide general administrative support to the Director, including managing expenses, processing invoices, and coordinating travel arrangements for construction-related events, conferences, and seminars.

**Qualifications**:

- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience (5+ Years) as an executive assistant or administrative role within the construction industry.
- Sound understanding of construction terminology, processes, and project management principles.
- Excellent organizational and time management skills, with the ability to prioritize tasks in a fast-paced construction environment.
- Strong communication skills, both written and verbal, with the ability to interact effectively with stakeholders at all levels.
- Discretion and confidentiality in handling sensitive information related to construction projects and business operations.
- Flexibility and adaptability to changing priorities and construction site conditions.
