Job Title: Practice and Client Executive

**Job Description**:
Unlocking Language, an award-winning, innovative, and fast-growing private practice, is

seeking a Practice Manager to manage our Canary Wharf, London location. As a key

member of our team, you will promote our company ethos of delivering excellent client

care while collaborating with therapists to achieve organisational goals and continually

improve the client experience.

Key Responsibilities:
1. Practice Management:
Oversee clinic and office operations.

Liaise with facilities to manage all office related matters.

Collect and reconcile client payments, including taking payments from clients.

Manage therapist schedules and appointments.

Ensure tidy and well-maintained office space and clinic rooms.

Coordinate company events and team socials

Maintain inventory system, signing out and in all equipment and resources.

2. Client and Stakeholder Relations:
Provide friendly and professional telephone support.

Assist clients with queries and address concerns.

Meet and greet clients.

3. Team Support and Development:
Facilitate onboarding and training of new team members.

Support the clinical team in achieving objectives.

Manage interns and volunteers.

Provide first-line support to therapists on site.

Run errands (e.g. Going to the shops, collecting letters, sending letters to the post

office, and depositing checks at the bank.)

Replenish stationary and kitchen supplies.

Distribute and store equipment.

4. Administrative Duties:
Perform tasks such as photocopying, printing, and appointment booking.

Adhere to site safety and security procedures.

Manage resources inventory and office stationery.

Handle sensitive data confidentially.

Demonstrate IT literacy.

Write and maintain office procedures and policies.

Essential Criteria:
1. Sound judgement and decision-making ability.

2. Strong organisational and prioritisation skills.

3. Customer service orientation and experience in client liaison.

4. Excellent written and spoken English language skills.

5. Strong communication and teamwork abilities.

6. Flexibility and adaptability to change.

7. Minimum 2 years of administrative experience.

8. Minimum 1 years experience in working with clients.

9. Motivation and leadership skills.
