**JOB SPECIFICATION - Business Support Assistant**
**Job Title: Business Support Assistant**
**Reporting To**:Sales Support Leader**
**Liaison**:Working within the customer centric sales support team. Day to day contact with sales, operations and finance as well as varying levels of customer across all sales departments including Plumbing, ACR, Medical, Export and
Engineering.
**Job Purpose**:
Working as part of a dynamic busy team providing customer service based assistance and administrative support to the Sales Support Leader and function and assisting all departments across the business where relevant.
The team are required to deliver consistently, high levels of accuracy and customer service and work collaboratively with other business functions.
Previous experience in a customer service role, be able to multi task along with a high level of attention to detail and accuracy is a must to be a success in this role.
**Main Duties and Responsibilities**:
2. Monitor and manage the sales order inbox responding to all orders and enquiries in a timely, professional and knowledgeable manner
3. Process orders received each day, in a paperless system, across all departments - Plumbing
& Heating, ACR, Medical/Export and Engineering. The high volume of orders should be entered with the utmost accuracy and within the agreed KPI.
4. Check orders placed by other team members and record and communicate any errors made.
Corrective actions will be implemented against errors made by any team member.
5. Liaise with the Transport team to ensure timely deliveries and confirm these back to the customers within their order acknowledgements.
6. Respond to customer complaints and queries in a professional and timely manner
7. Log any customer complaints, delivery or sales order errors
8. Involvement in weekly/monthly reporting/analysis to drive improvements
9. Monitor and manage customer bookings to ensure they are up to date with relevant tonnage and metal price, provide effective communication to the customer and relevant Account
Manager on the progress of these bookings.
10. Any other administrative duties to assist in the smooth running of the day-to-day operation of the business.
11. Responsible for keeping up to date with any new products and policies
**Key Skills, Experience and Personal Qualities required**:
**Experience**
- Experience in a customer facing or similar office based role is essential
- Experience in data entry
- Experience of working as part of a team and under own initiative
- Experience on look ups, conditional formatting and pivot tables is advantageous
- Proficient with the use of Microsoft Office including but not limited to; Word, Excel and
Outlook
- Experience of using a sales order processing system; Merlin or similar
