**OPERATIONS CO-ORDINATOR**

**ACCOUNTABLE TO**: Operations Manager

**PURPOSE**

To provide continuity in project co-ordination due to the offshore nature of our personnel.

To work closely with Operations Manager and Project Engineers to ensure project documentation such as travel, crewing and personnel certification.

**Administration**
- Maintain project correspondence records
- Carry out day to day administration of the Project travel, visa and crewing requirement
- Co-ordinate and maintain annual leave.
- Co-ordinate and maintain project crew planner.
- Co-ordinate and maintain personnel files
- Co-ordinate and maintain files for all operations personnel, including Supervisor’s home days and yard days for compiling into payroll spreadsheet.
- Book training courses as and when required for offshore related activities
- Compile and review costs and expenses related to travel and training
- Assist with reconciliation of employee timesheets for payroll information
- Assist with reconciliation of subcontractor timesheets and invoices for processing
- Co-ordinate and maintain travel and any other vaccination records

**Client Care**
- Liaise with Clients on all crewing related activities during start-up, operational and post operational project periods.
- Ensure work by the Company and subcontractors is performed in accordance with Client specifications and to a minimum of Company standards
- Act as the primary point of contact between Company and Client for all verbal and written communication regarding personnel certification.
- Liaise with Department Managers to ensure that project requirements are met
- Liaise with the Client so that the travel/crewing activities of the Company meet the project schedules
- Ensure Client quality requirements are complied on all Quality aspects of the projects

**Team**
- Liaise with the Project Engineers to ensure that project requirements for personnel and documentation are met
- Liaise with the Project Engineers to co-ordinate crew changes and work schedules to optimise productivity and to ensure adequate leave routines for all personnel.
- Liaise regarding personnel development required for company CV and training records.

**Maintaining Company and Operational Standards - Health and Safety**
- Know, understand and ensure compliance with the safety regulations (occupational health and safety regulations and code) and safety policies and procedure
- Ensure quality assurance through safety procedures
- Follow project-specific procedures for the work to be carried out and as amended

**Skills, Knowledge and Experience**
- Understanding of QA/QC ISO9001 desirable but training will be provided
- Knowledge of health and safety requirements and standards

**Working Hours**

The role requires to cover out of hours travel requirements ad hoc over the weekend Friday to Sunday and work flexibly during these hours. The working week is 36.25 hours and the organisation can be flexible in how the remaining hours are spread through the working week Monday to Friday to suit the individual’s needs.
