We are looking for an HR Assistant to join our team in Aberdeen.

The HR Assistant will provide a broad range of administrative support and coordination assistance to the Human Resource department. This will include the production, update and maintenance of HR documentation, procedures and systems. Working in a small HR team, supporting the ICR global business, contributing to the delivery of the wider ICR HR plan.

**Main tasks**:

- Maintaining and updating all HR systems (including Onboard), HR database, files and records, including organisational charts
- Carrying out all data entry requirements to ensure employment records are accurate and up to date
- Preparing necessary HR documents - including employment paperwork, changes, promotions, leavers etc.
- Monitoring the HR Support inbox, handling and/or directing requests appropriately within the HR team and wider business.
- Providing admin support for HR processes and procedures.
- Arranging/booking external Training courses, issuing of joining instructions, recording/tracking of training courses.
- Maintaining up to date training and competence records within both the personnel files and the Onboard system.
- Booking required medical and occupational health appointments via online booking portal
- Preparing ad-hoc and monthly reporting within HR as required.
- Providing administrative support to the new start and leaver processes - scheduling inductions, exit interview, associated paperwork etc.
- Raising PO’s for HR related activities, as required.
- Participating in and providing administration support to HR Projects as and when required.

**Key responsibilities**:

- Ensuring that all HR information/data and activities remain strictly confidential.
- HR information/data is recorded actively and in real time, in accordance with statutory obligations and to a high quality and standard.
- Accurate training and competency records are maintained across the business.
- Provision of confidential, efficient and high-quality administrative support for the HR team.

Required:

- Excellent written and verbal communication skills.
- Flexible - able to work on several different task.
- Comfortable working in a fast-paced environment.
- Strong sense of initiative, always striving for improvement.
- Organised and efficient - plan work to ensure deadlines are met on time.
- Strong attention to detail.
- Good interpersonal skills - able to build effective relationships with multiple stakeholders both internally and externally.
- Passionate about delivering a professional and value-add HR administrative service to the business.
- Strong ethical business approach - able to operate in a discreet and confidential manner.
- Strong IT skills in office packages.

Preferred:

- Previous HR administration experience or similar
- Experience with SAP
- Experience with Onboard
