Sample Reception Supervisor

To receive, sort and book in samples for laboratory investigations, to perform any required pre-analytical procedures and then direct the samples to the appropriate section for analysis. To ensure accurate data entry of patient identification details and test requests into the computer / database systems. To perform work in accordance with the Standard Operating Procedures and Protocols in order to facilitate the provision of accurate and timely analysis. To ensure that equipment is used in accordance with departmental policies and suppliers instructions.
To liaise with internal departments and external agencies with regards to maintenance and facilities. To prepare samples which are not processed in-house for referral off-site and ensure that all samples are referred in a timely manner. To assist in any research and development activities as required. To perform some standard diagnostic biochemical tests after appropriate training.
To enter results into the Laboratory Information Management System (LIMS) and check information input by other laboratory staff. To ensure results received from referral laboratories are entered into the LIMS in a timely manner. To report any instance or event which may cause service delivery failure to the departmental manager and carry out corrective action as appropriate. To deal with queries regarding results, tests, samples, sample handling, issues & complaints.
To plan and organise their own work and that of others. To ensure all equipment and work areas are kept clean and tidy. To ensure deliveries are passed to the correct department or section. To assist in the supervision, training, development and competence assessment of, and act as mentor to, Medical Laboratory Assistants.
To comply with good laboratory practices required for the standards of Medical Laboratory Accreditation (UKAS ISO 15189) and MHRA. To supervise the day to day running of the department, allocating and prioritising workload and resources, to ensure sample reception runs as efficiently as possible. To compile, manage and clearly and accurately record rotas and day-to-day staffing in the department and ensure policies regarding leave and time management are adhered to. To help formulate, document and review departmental policies and procedures to ISO 15189 Standards.
To be trained in the Departmental Quality Management System and ensure that records and tasks are kept up to date. To maintain the integrity and accuracy of laboratory databases including the Departmental Quality Management System. To carry out audits as required. To ensure Mandatory Training compliance is maintained and document acknowledgement is completed in a timely manner for Sample Reception staff.
To undertake staff Personal Development Reviews for Medical Laboratory Assistants. To carry out staff Return to Work interviews and sickness monitoring of Medical Laboratory Assistants. To maintain an awareness of developments and provide suggestions for improvements as appropriate. To attend educational and training courses as required by the Departmental Manager To monitor stock levels and advise the Departmental Manager when stocks of reagents and consumables are approaching minimum levels.
To communicate any relevant information to laboratory colleagues and to inform effectively at hand over. To organise and actively participate in team meetings. To prepare agendas, reports and minutes as required. To contribute to and attend if required to the Annual Management Review.
To assist in the reporting and investigation of clinical incidents. To assist the Management team with administrative duties and data input. To perform duties in accordance with all Departmental, Directorate, Trust and Statutory Policies.
