**Job Purpose**:
To provide an efficient and professional administration service for Magenta and its clients and assistance in general office upkeep.
**Relevant Skills and Knowledge**

- Detailed knowledge and understanding of the firm’s record keeping requirements.

**General Responsibilities**
- To fully understand and be able to efficiently communicate the Magenta purpose to clients and ALL others.
- Comply with the Financial Services and Markets Act 2000 and the relevant FCA rules at all times.
- Comply with the relevant compliance, TCF, T&C and financial crime (anti-money laundering, data security, anti-bribery, fraud and corruption) procedures of the firm at all times.
- To ensure all client files are compliant on an ongoing basis and follow ethical standards.
- Develop relationships with existing / new clients to ensure client queries can be dealt with on a day-to-day basis.
- To champion the client portal, encouraging where possible, the use of this as an alternative to paper documents and improving Magenta’s environmental impact.
**Specific Responsibilities**
- Dealing with general enquiries from clients / third parties and ensuring the service is always carried out in a professional and courteous manner.
- To maintain client paper and back-office electronic files to a high standard, keeping client records up to date.
- To manage in a timely manner all incoming and outgoing post and inform the team accordingly.
- To prepare all client meeting packs in the appropriate time frame, including updating the LCF on return of client’s information.
- Ensure all appropriate ‘know your client’ information has been obtained and can be demonstrated within the relevant client file.
- To start the build process of any new client LCF/annual update for LCF and pass to Paraplanner for checking and additions.
- To manage the client portal, set up, download / upload documents and maintain compliance.
- To manage on a daily basis the Letters of Authority for clients. Ensuring required policy information is received in time and policy details on Prestwood are updated.
- To assist the Financial Planners with any administration they may require in preparation for meetings and or giving advice.
- Ensure all supporting documentation is maintained as per company procedures.
Salary £21 -£25k (Pro rata part time) depending on experience.
