Finance and Administration Assistant

**FINANCE AND ADMINISTRATION ASSISTANT**
Line Manager: Finance Director
Contract Length: Permanent
Hours of Work: 5 days per week, 8.30am - 5.00pm - flexibility can be discussed
**Salary**: From £25,000 - negotiable based on hours and experience
**JOB ROLE OUTLINE**
This role is responsible for the day-to-day processing of transactions and the operational organisation of the finance function. The tasks will cover daily banking and reconciliations, maintenance of both sales and purchase ledgers, and an involvement in the month end accounting process. Reporting to and assisting the Finance Director, the role has the potential to cover all aspects of accounting and reporting, dependent on experience and skills.
The role will also cover various admin roles across the business to assist all other departments in their day-to-day operation and any other reasonable management instruction.
The successful applicant will have good organisational skills and the ability manage their workload and prioritise. They will be able to work without daily supervision and have a clear understanding of their part in the finance reporting function.
There is an element of flexibility offered in the role, which can be discussed; however, there is a general requirement of daily attendance to ensure the business needs are covered. The role is a part of an enthusiastic, resolute team and the applicant is expected to play their part in all aspects of administering the business.
**Objectives**
- To provide the day-to-day Finance reference point for the business
- To maintain the sales and purchase ledgers
- To ensure all accounting transactions are recorded and all records kept up to date
- To support the Finance Director
- To provide admin assistance across the business as required
**ROLL SPECIFIC RESPONSIBILITIES**
**Banking**
- Daily processing and accounting for the tills and banking from previous day
- Investigation and resolution of banking differences with the relevant staff
- Bank account reconciliation
- Credit card reconciliation
**Sales Ledger**
- Posting of bank receipts and maintenance of outstanding lists to ensure accurate overall position is reported
- Working with the Golf Team to manage processing of invoices and credit control for golf members, bookings, and golf days
- Working with Hospitality to manage the financial administration and credit control of events and bookings
**Purchase Ledger**
- Manage purchase order process to ensure all procedures and authorisation requirements are adhered to
- Manage purchase invoices to ensure all are approved and posted correctly
- Reconcile supplier statements to ensure accurate overall position is reflected
- Prepare the monthly payment run for review and process by Finance Director
- Control expenses procedure to ensure approval and timely reimbursement
**Accounting**
- Maintenance of the nominal ledger and processing of journals as required
- Involvement in the month end process (dependent on knowledge and experience)
- Assist the business with any financial information requests as required
- Provide information to the Finance Director to assist with Management Reporting, budgeting, and external reporting as required
- Provide support and assistance to the Finance Director on any strategic or development project as required

- Assistance with weekly sales reporting and stock analysis reporting

Excellent organisational skills and ability to prioritise and manage workload

Ability to work individually and as part of a wider team
Ability to work calmly under pressure and meet deadlines
Excellent IT skills, specifically Excel and Word
Knowledge of a standard accounting package
General awareness of golf
Understanding of data protection
Experience of working in a customer facing environment
