**Purpose**
Ensure the smooth day-to-day running of the reception and office administration.

**Role is part-time AM only 22.5 hours per week**

**Reception**
- Answer incoming calls promptly and in a friendly, professional manner and taking the appropriate action to resolve the call.
- Sort and action all incoming mail
- Meet and greet visitors make them welcome, offer tea/coffee
- Ensure security to the building is maintained by issuing all new staff with security passes and providing all visitors with a visitor’s pass and requesting them to sign Visitors Book. Photograph all new staff to provide photo ID security passes.
- Ensure that the meeting rooms are maintained to a high standard, this includes coordination of meeting room bookings and ensuring that the rooms are set up appropriately at all times.

**Administration**
- Administration of Clinisys Travel
- Preparation and issue of any purchase orders following ISO purchasing procedure
- Match purchase order to purchase invoice and obtain internal approvals.
- Review expense coding and update Sage with purchase invoice detail
- Payment of purchase invoices via BACS on a monthly basis.
- Review and control or supplier accounts.
- Reconciliation and control of petty cash.

**Skills needed to be successful**
- Extremely presentable
- Good telephone manner and articulate
- Hardworking with a friendly yet professional manner
- Accurate, organised and a good team player
- Good keyboard skills, Microsoft Word, Excel

**Required Experience & Education**
- Standard level of education
- Previous reception roles

**Role is part-time AM only 22.5 hours per week
