Lead Receptionist

**Reports to: Facilities Operations Manager**
**Direct reports: Receptionist**
- **MAIN PURPOSE OF JOB**:_
- To lead the provision of high quality administrative support in reception
- To contribute towards the friendly and pleasant atmosphere enjoyed by guests and visitors at Leuchie House
- **MAIN DUTIES & KEY RESPONSIBILITIES**:_
- To manage all aspects of the reception service on Mondays, Thursdays and Fridays with flexibility in hours and days.
- To line manage the reception team
- The management of telephones, printer and any other office equipment as required
- To manage contracts and renewals in cooperation with other managers
- To provide general reception duties as required, ensuring all guests and visitors are made to feel warmly welcome and responding promptly to all enquiries.
- To maintain effective and co-operative relationships with all guests, relatives, visitors, staff, volunteers, and other stakeholders
- Assist incoming and outgoing process for guests who are arriving and departing, including managing and producing the paperwork required for a guest’s holiday.
- Provide administrative support with guests’ finances and in other areas as required
- Maintaining accurate income records including daily recording and banking cheques
- Ensure record keeping and documentation is maintained in compliance with relevant legal and statutory requirements as well as best practice for Leuchie House
- Provide additional administrative support across the organisation on a flexible ad-hoc basis
- Any other duties that may be reasonably required
- **PERSON SPECIFICATION**:_
**Knowledge and experience**
- General secondary education including English and Mathematics
- Experience of working in a customer focused environment, respecting others and with a strong appreciation of confidentiality
- Excellent administration experience with strong attention to detail
- Experience of using Microsoft Office
- Experience in a health and social care setting desirable but not essential
**Skills**
- Leadership and management skills
- Excellent communication skills
- Excellent organisational abilities and able to work flexibly and efficiently
- Excellent IT skills
- Ability to make decisions related to incoming queries and administrative duties

**Job Types**: Part-time, Permanent
