Business Support Officer

Organise and coordinate complex meetings and events, including internal and public meetings, consultation exercises, committee meetings and exhibitions. This will include scheduling dates; booking meeting rooms; arranging the relevant ICT/ facilities; producing and distributing agendas, reports and other relevant materials; and ensuring any follow up actions are implemented.
- Using a laptop to take minutes at meetings/ capture feedback from events. (Note that minute taking will be kept to an absolute minimum and meeting attendees will be encouraged to take rotational responsibility for supporting meetings).
- Ensure the smooth running of the division’s working environment. This will include managing the client side arrangements with facilities management (buildings repairs/ maintenance) and ICT (multi-functional devices (MFD)/ laptops/projectors/G-Suite/CDM etc.); administering hot desking arrangements; and managing stationery orders.
- Develop new, and improve existing, business administration systems and processes (e.g. G-Suite/CDM filing structures; responding to corporate directives, recruitment panels).
- Use ICT/technology and advanced working practises to improve the internal efficiency of the division and its interactions with other services/customers.
- Develop, implement and oversee maintenance of electronic filing and information systems, including data collection and collation to support maintenance of a single evidence base.
- Disseminate key data, analysis and other relevant stakeholders, both in response to requests and proactively. This may involve working with other stakeholders and partners to develop systems of information sharing.
- Support the team to be responsive to requests for data and analysis through coordinating responses or inputting into requests for information and evidence.
