**Role Description**

To ensure the efficient and organised flow of office procedures and administration for SinglePoint projects, Wrap Around Childcare and wider organisational activities. Maintain a positive and friendly first line of contact to staff, visitors, partner organisations, external providers and stakeholders, in person, online and by phone.

**Main duties and responsibilities**

**General**
- _To ensure regular & effective communication with staff & visitors to: _
- _**Manage the SinglePoint Community hub main reception area, meeting, greeting and looking after visitors and external contacts within the SinglePoint hub.**_
- Work alongside our board, staff, partner organisations and visitors in a positive and welcoming manner
- Answer phone calls and deal with enquiries, recording relevant information & directing telephone calls to appropriate staff.
- Devise and maintain well organised, effective office systems, including the collection & recording of data
- Photocopy, distribute, draft, format and file documents as required, adhering to deadlines where advised
- Create agendas, take meeting minutes and distribute key papers as directed
- Maintain stock lists and order office supplies, resources & refreshments as needed
- Maintain an itinerary of equipment and ensure annual PAT testing & equipment servicing is scheduled with external providers.
- File invoices and liaise with SinglePoint Managers to ensure payments are processed within 28 days of receipt.
- To interact with SinglePoint Managers and carry out their requests in accordance to prioritising tasks.
- To record distribution of volunteer travel scratch cards
- Create invoices, distribute to recipients and accurately record payments received
- To record & file receipts of company credit card expenditure.

**Events & Activities**
- _To ensure regular, effective communication with SinglePoint Events Worker to: _
- Create booking systems for activities & events run by SinglePoint, collecting & recording relevant data from participants
- Oversee hub calendar, ensuring room use does not overlap
- To assist in arranging events, liaising with external venues & coach companies as required
- To oversee the booking system for Dudley Zoo corporate pass, including calendar & pass distribution as main contact for pass users.
- To photocopy training materials, posters, flyers, certificates & any other documentation related to SinglePoint events.

**Wrap Around Childcare**
- _To ensure regular, effective communication with SinglePoint Wrap Around team leader in relation to: _
- _**Accepting enquiries for Wrap Around Childcare, ensuring registration packs are distributed to families.**_
- Receiving & filing completed registration packs, accessible to relevant staff, ensuring all information required is complete and added to the booking system.
- To oversee the booking system for parents using breakfast, after school & holiday club, ensuring places & charges are updated where required.
- To check registers against booking system, making amendments as required before printing for

Wrap Around Staff to use each day.
- To calculate payments against sessions booked & ensure payments are received in advance of a child’s attendance, following up on outstanding balances as required.
- To provide proof of payment as requested by parents or to organisations providing families with financial support towards childcare.
- To liaise closely with Wrap Around staff to ensure effective communication for the provision.

**SinglePoint**
- Undertake training and professional development as required.
- Assist in the marketing and promotion of SinglePoint
- To undertake duties in accordance with policies & procedures outlined in the SinglePoint

Employee Handbook.
- Participate in and contribute to SinglePoint professional development programmes
- To undertake any other reasonable duties as directed by SinglePoint Managers.

**Special requirements**
- Enhanced DBS Clearance

**Salary**: £10.40 per hour
