Job Purpose
To
- Assist the Contract Manager (Freight) aligned to, to develop and deliver the _Freight Business Strategy_ to ensure a customer centric and profit-making environment for further business growth.
- Ensure the Operations Manager (Freight) is fully informed and supported to deliver their purposes to the Freight Business.
- Act as interface between the Customer and the Operations Team ensuring service delivery meets the requirements of the customer’s specification.
- Administration of customer contracts to meet the highest of customer expectations.
- Customer Specific Administration. Including, but not limited to, KPI’s and Reports.
- Data Input into WRL Database and/or Customer Database. WRL Database management and cleansing.
- Costings and Invoicing for work undertaken and cash management (debtors).
- Customer Wagon Management, i,e. cripples and release of wagons on TOPS or alternative system.
- General Administration to support the Freight Team. Including, but not limited to Travel and Expenses, Holidays, general Time Management
- Ensure all commercial employees comply with statutory and company regulations.
- Deliver products & services to customers with _Safety of the Railway_ (SoTR) at the forefront of thoughts and actions.
- Communicate effectively and demonstrate the company values.
Principle Responsibilities & Accountabilities
Safety
Where relevant, supply
_Safety Performance Management_ (SPM) data to the Customer. Develop a proactive health and safety culture throughout the business. Ensure as a commercial employee you are informed, trained and competent to undertake your role. Ensure self and all required personnel complete enabling safety processes to reduce injuries and near misses e.g. SBOs, Near Miss reporting. Support and drive the safety improvement processes across WRL sites.
Quality
Ensure all quality expectations of the customer are fully understood and met. Customer KPI Management aligned to Contract commitments. Ensure self and all required personnel complete enabling quality improvement processes e.g. QBOs, QNMs/PQs etc.
Delivery
Ensure all administrative tasks per customer are completed in full, on-time and to specification. Ensure invoices are raised timely and in full. Ensure cash is received timely and in full, with a
_zero invoice query_ target. Constantly review progress against schedules to provide early and good communications to the customers (internal and external). Provide warranty and after sales support of business products and services.
Cost
Support the P&L responsibility of the Contract Managers (Freight) including budget creation, regular forecast management and actual results analysis. Identify and implement cost improvements where possible. Create a cost awareness culture, challenging the norm and driving for improvements.
Operations
Support regular Customer reviews that drive action, service improvements and customer growth and development. Actively support projects to reduce waste and improve product flow. Develop and drive Kaizen activities as per annual plan objectives. Deliver 5’s’ in their department. Perform any other duties as appropriate within the individual’s skills and competencies.
People
Communicate and share knowledge effectively with the customer. Be an exemplar of communication, particularly through strategic change and daily briefing processes. Be the clear point of contact for interdepartmental communication. Ensures understanding of the relevant company HR processes within department.
