**Job title**:Membership and Events Administrator

**Responsible to**: General Manager

**Main purpose of job**:To coordinate and manage all aspects of golf club membership and events

**Duties and Responsibilities**:
**Membership**
- Maintenance of all member records, both electronic and manual, ensuring up to date and accurate information is recorded.
- Develop and maintain procedures and systems to ensure membership loyalty rewards are correctly awarded.
- Deal with and resolve any other membership matters and enquiries.

**Diary and Website**

**In conjunction with the Golf Operations Manager to**:

- Maintain the Club diary, ensuring effective and timely communication of diary events to the management team and relevant staff.
- Liaise with internal and external customers regarding diary events in a professional and timely manner.
- Update the Club website diary ensuring accurate information is displayed.
- Maintain the Club website, ensuring up to date information is displayed, i.e., membership, green fee and society offers, and function menus.
- Update club documentation on the Club V1 document hub, ensuring accurate and timely information is published
- Maintain the information on any other golf/advertising websites the Club subscribes to.

**To support the Golf Operations Manager to**:

- Produce posters and advertising material for Club golf events, ensuring the events are advertised in the Club, on the website and in any other required format.
- Produce and publish competition sign-up sheets. Liaise with the competition/event managers to ensure accurate information is displayed. Produce and circulate competition start sheets in accordance with the competition rules.
- Maintain ongoing communication with the management team, particularly the Club Professional and the Course Manager regarding golf competitions, matches and events ensuring timely and accurate dissemination of information.
- Maintain accurate records of competition winners and trophies/prizes awarded and arrange engraving prior to the Clubs’ prize giving event. Ensure the trophies are laid out and arranged prior to the prize-giving event.
- Responsible for booking all golf societies, negotiating on price when necessary, ensuring the society are aware of club rules and regulations and confirming the booking in writing.
- Ensure final society numbers and requirements are confirmed in the week prior to the booking and communicated to the management team.
- Prepare the bag tags and the Invoice for visiting golf societies and collect payment or ensure that the Bar Manager has the invoice if it is to be settled at the end of the evening.

**Social Events - Internal and External**
- Produce posters and advertising material for Club social events, ensuring the events are advertised in the Club, on the website and in any other required format in a timely manner.
- Produce or source externally, professional and accurate advertising and marketing material for external events.
- Responsible for external event bookings. Dealing with the initial enquiry, arranging meetings with the Chef and Bar Manager to discuss menus and requirements, confirming the event in writing, ensuring final numbers and requirements are confirmed in the week prior to the booking and communicated to the management team.
- Maintain ongoing communication with the Chef and Bar Manager regarding all social events and bookings.
- Produce and print the menus, place settings, seating plans and any other printed matter required for an event.
- Alongside the Bar Manager, provide a front of house welcome/service to external social events, i.e., Christmas parties, when required.
- Produce the Invoice for the event and ensure that payment is collected in accordance with the agreed terms.

**Office Duties**
- **Provide administrative and secretarial support to the General Manager**:

- Answer all incoming telephone calls to the office in a friendly and professional manner.
- Responsible for the opening and distribution of the daily incoming post and the posting of the outgoing post.
- Provide reasonable administrative and secretarial support to the Club Captains, the Ladies Section, the Veterans Section and the Past Captains.
- Responsible for maintaining adequate stationary supplies, re-ordering as required. Being the central ordering point for all computer, printer and photocopying consumables.
- Support the other members of the Office team when required and in any other duties that are required to maintain a safe, clean and happy environment.

**Job Types**: Part-time, Permanent
Part-time hours: 30 per week

**Salary**: £13.00-£15.00 per hour
