Position Overview

To provide dedicated administrative support to the Small Works Team within the Commercial department to ensure effective and efficient operation as directed by the line Manager. The role will encompass the delivery of key tasks, with a focus of this role being the deliverance of excellent customer service through open, courteous and friendly communication.

**Responsibilities**:

- Management of high priority actions as per P1 process
- Management of all small works identified through integrators CAFM system
- Good understanding of commercial requirements & expectations to ensure accurate upload of quotation costs
- Scheduling of works with Subcontractors and monitoring of scheduling via Service Desk
- Effective supplier relationship management to ensure workflow management processes are followed in accordance with the contractual KPI/SLA's
- Liaison with Site FMs regarding attendance and completion of works to required standards
- Document Management and scanning and uploading documentation
- Administration of hard copy and electronic files
- Administration of client contact lists
- Management of incoming and outgoing mail
- Ensure small works requests are complied with and completed - provide feedback to Manager
- Ensure all associated paperwork is completed and maintained in an orderly and timely manner
- Actively promote the interests of the customer by providing an informative, helpful service to all callers
- Attend training and other meetings as required and to make specific training needs known to line management
- Be aware of the business continuity plan for the part of the business you in work.
