An exciting opportunity has arisen for a permanent contract working within our Safer Care Team as a support officer.

This post will support the Safer Care team in the delivery of safer care and quality assurance processes.

The main purpose of this role is to provide support for the organisation in the delivery of robust incident management process, learning from incident and the wider patient safety and quality strategies by:

- Facilitating the incident reporting and management process
- Supporting the delivery of serious incident investigation process
- Supporting the wider work of the Safer Care team
- Supporting the delivery of the quality and assurance processes

**SECTION 1 - MAIN RESPONSIBILITIES**:
Main responsibilities
Focused training will be provided as required
1. Communicate with a range of contact’s e.g. staff from other departments, external clients and patients and their families, concerning both routine and complex information, some of which may be confidential.
1. Provide administrative and secretarial support to the Safer Care Team within set timescales and to a high standard of accuracy and presentation that will include
- Typing documents - letters, meeting notes, reports
- Develop and maintain effective and efficient office systems
- Organising meetings as requested and providing administrative support for those meetings e.g. room bookings, taking minutes/meeting notes.

1. Facilitating the incident reporting and management process which will include - Data quality checking
- Providing support to staff users to ensure all queries are actioned, escalated or delegated as appropriate
- System maintenance as required

1. Support the Safer Care Team with the review of incidents and investigations by following up actions and chasing responses.
1. Maintain efficient, up to date and effective paper/electronic filing systems.
1. Actively participate in Safer Care team meetings.

SECTION 2 - KNOWLEDGE AND SKILLS

Focused training will be provided as required
- Excellent IT skills. Would be required to use Microsoft Office, in particular Word and Excel.
- Attention to detail and focus in order to quality check content of incidents reported onto the Ulysses Risk Management System, escalating issues as appropriate.
- Case note tracking using IFIT or other case note tracking systems.
- Excellent communication skills (face to face, written and by telephone) with staff from all levels of the Trust. Ability to explain technical concepts to staff of all levels and understanding, with strong influencing skills.
- Excellent time management and organisational skills.

SECTION 3 - EFFORT AND ENVIRONMENT
1. The post holder will be based mainly in an office environment and will operate a range of office equipment. It will also be necessary to visit other areas of the Trust, both clinical and non-clinical.
1. Knowledge and use of a range of computer systems is necessary and the post holder will be required to work on a computer for extended periods.
1. The post requires the transportation of medical records including the filing of records, lifting and handling of large files and medical records. This will include stretching and bending in order to locate, retrieve and position items.
1. There will be a frequent need to concentrate whilst working within busy locations
1. The post holder will need to accommodate working with frequent interruptions. This will require prioritising demands or interruptions by staff that may require the current task to be deferred or modified, in order to deal with an urgent requirement.
1. The post holder will be required to meet deadlines in data inputting, provision of reports and preparing minutes.
1. The post holder will assist with Safer Care initiatives/events that may include setting up rooms, moving and setting up Safer Care promotional materials, distributing patient safety related bulletins/flyers.
