Gilligan Engineering Services Limited is looking for a part time Administrative Assistant who has experience of working in a fast-paced office environment to join our team based in Prudhoe. The successful applicant will provide efficient and effective administrative support to the operational and engineering teams with the various administrative tasks required. Applicants should be flexible, able to prioritise workload, have excellent communication skills, be proactive and able to work within a team as well as on own initiative, and be IT proficient (training given on specific IT). This is a part time role working between 15 and 18 hours per week across three or four days to suit the applicant (must include working on a Tuesday).

Duties will include
- Answering incoming calls
- Maintain manual and computerised records/management information systems
- Typing records and documents
- File/store/record data (manual and electronic) and information in line with procedures
- Administering and processing enquiries, referrals and other requests in line with procedures.
- Use of databases and IT systems (full training given)
- Booking couriers and maintaining delivery records
- Helping to organise and support various events and meetings etc.
- Opening and distributing post
- Accurate record maintenance including checking equipment, updating databases, filing paperwork appropriately, scanning and archiving folders, retrieving information and using data.
- Replenishment of Engineer paperwork resources and processing of weekly paperwork
- Maintain stocks of equipment, stock of parts including first aid supplies and stationery.
- Greet any visitors to the offices in a professional manner and provide refreshments when appropriate.
- Raise invoices/statements and assist with credit control process.
- Assist with monitoring of timesheet records
- Creating Purchase orders
- Maintaining the monthly Fire extinguisher and First Aid box checks
- Processing Supplier and Customer assessments
- Arranging checks/ calibrations for lifting equipment/ tools etc

Applicants must be currently resident in UK, have right to work in UK and be able to provide a clear DBS.
