**Job Title: Mobile Account Executive**
- This is an office based role _
**Key Purpose of the Job**
To support the Guarding Solutions department by providing timely administration and support. This includes answering telephone calls, liaising with suppliers, dealing with customer enquiries, daily reporting and invoicing support.
**Key Job Responsibilities**:
- Timely updating of company information systems. More specifically, changes to keyholders, site specific information or service partners and associated costs
- Dealing with customer and service partner enquires
- Attending company meetings and training where required
- Maintaining all company information systems
- Set up of new customers and sites of the mobile division in line with company processes
- Decommissioning of customers and sites of the mobile division in line with company processes
- Communicating any relevant financial issues/information pertaining to the mobile division to the relevant and appropriate individuals, stakeholders and Service Partners
- Assisting the Guarding Solutions invoicing team with any queries/investigations
- Answering the telephone and taking messages where applicable
- Booking, monitoring and communication to all relevant parties of all requested site visits, key collections, surveys and Void Property inspections
- Manage all daily alarm call outs ensuring reports from suppliers or Kings Mobile team are received, sanity checked prior to being sent to the clients and invoiced accordingly
- Timely investigation of mobile duties that have fell below Kings service excellence expectations and subsequent restorative actions taken
- Identifying and promoting best practice within the department to improve processes and provide service excellence to all clients
- Ensuring all work is produced in a timely manner, well presented and error free
- Assisting with the preparation of quotations
- To develop templates and auditable administrative process to support the Guarding Solutions Department
- To liaise with the Office Manager in all areas of administrative or project support
- Ensure our internal database system is fully up to date with live sites. This includes customer/client information, contacts, AI’s, access codes etc
- Ensure to do date Assignment Instructions, Risk Assessments, Site Surveys are all present, correct and available on company information systems
- To ensure appropriate keys (and key receipts) are held and monitored correctly
- Ensure your line manager is made aware of developments, problems and other issues affecting the organisation
- Ensuring new sites are setup and mobilised in accordance with company processes. Postholder to identify a supplier, agree rates with them, ensure relevant Kings operational templates (AI’s/RA’s) are sent to the supplier for timely completion and return to enable upload onto company information systems and key receipts are completed where applicable
- Where a change of supplier is required, postholder to source and arrange accordingly and once completed, ensure relevant departments are made aware and company information systems updated
- Deal with customer complaint that relate to poor service by liaising with all relevant parties and suppliers. Should the postholder not be in a position to satisfactorily resolve the issue, escalation is required to the Control Room Manager for assistance or thereafter, the Head of Mobile
- Collate relevant Management Information for report submission to relevant clients where applicable on either daily, weekly or monthly basis
- Ensure the strict compliance of all Void Property Inspections (VPI’s). This includes ensuring the attending officers fully understand the requirements including the standard of reports required. The compliance of the schedule must be monitored and any service related issues addressed. The VPI’s reports must be sent daily to the required client
- Any site access issues must be fully dealt with within 24hrs
- Assist the Head of Mobile where necessary with client and service partner relationships
- Be prepared to hold meetings with service partner and clients at the direction of the Head of Mobile
- Implement and act in accordance with the organisations information security policies
- Protect assets from unauthorised access, disclosure, modification, destruction or interference
- Implement particular security processes or activities, as requested by management
- Report security events or potential events or other security risks to the organisation
- The post holder will ensure the health, safety and welfare of themselves and their team in accordance with the Kings Policy
- The post holder will understand the regulatory, fair trading and competition rules relating to their work sufficiently to be able to comply with them, relying on their own knowledge or on their ability to recognise that they will need specialist support
