Administration Officer

The main purpose of the role is to support the Chief Clerk in performing the day-to-day governance, administrative and secretarial work of the Faculty Office.
**Main Responsibilities**
To support the Chief Clerk (and others in the team) in a range of governance, administrative and secretarial matters connected with the regulation of Notaries in England and Wales and the issuing of Special Marriage licences including:
- maintaining and updating the records of Notaries and Special Licences granted in both paper-based and electronic systems
- preparing and issuing the affidavits and commissions for granted Special Licences and preparing and issuing the Special Licence certificates
- corresponding with retired notaries to ensure their practice is properly closed and their records deposited
- maintenance of diaries and scheduling of meetings including making room bookings or setting up virtual meeting rooms, sending invitations and organizing catering
- taking minutes of meetings
- preparing, collating, copying, and distributing papers for meetings in the Faculty Office
- administrative maintenance of the website

- Good understanding of IT systems and technologies
- Attention to detail
- Good communication skills and ability to work in a team
- Willingness and Flexibility to work from home when required
