The Facility Coordinator reports to the Regional Director, Facilities and is responsible for providing a broad array of facilities, services, and support. The Facility Coordinator must be proactive and a highly organized individual that will oversee the day-to-day operations of the company's facility. This will include efficiently and effectively managing various aspects of facilities operations, ensuring a safe, clean, and well-maintained environment and possess a strong customer service focus with a positive can-do attitude.

PRIMARY RESPONIBILITIES:
Facility Support:

- Coordinate and oversee daily facilities operations, including maintenance, repairs, security, janitorial, mail, and maintain adequate levels of office and coffee supplies and restock as needed.
- Coordinate event setups and logistics as needed.
- Assist occupants and visitors with technology & video equipment set up and network access.
- Maintain and manage strong working relationships with landlord, vendors, contractors, and suppliers of facility related services and supplies.
- Conduct regular inspections to identify areas for improvement and address any maintenance, cleaning, or security issues promptly with the correct vendor/party.
- Provide support and assistance for facilities related projects.

Safety and Security:

- Implement and enforce safety and security protocols to maintain a safe and secure work environment complying with the company's policies, local and national guidelines.
- Perform monthly safety inspections of the leased premises, document and retain.
- Collaborate with key stakeholders to develop and exercise emergency response plans.
- Coordinate safety and security meetings as required to review any challenges being faced or assistance that may be required.

Space Planning and Allocation:

- Assist in space utilization and planning, including office layout, seating arrangements, and allocation of resources.
- Coordinate adds, moves, and changes to office space and furniture as required.

Financials:

- Assist in developing and managing the facility budget, including cost estimation and expenditure tracking.
- Generate PO's and process vendor invoices to accounts payable.

Communication and Coordination:

- Serve as the primary point of contact for all facility related inquiries and requests.
- Coordinate and communicate effectively with leadership team and all building occupants.

QUALIFICATIONS:

- Bachelor's degree in Facilities Management, Business Administration, or related field preferred.
- Proven experience of 5 years or more in a facilities or similar support role.
- Strong knowledge of facility operations, safety regulations, security protocols, and maintenance practices.
- Well versed in MS Office suite and a working knowledge of facility/security management software.
- Excellent organization, communication, and problem-solving skills
- Ability to multitask, prioritize, and work effectively in a fast-paced environment.
- Certification in facilities management or related field is a plus.
