Stem Cell Transplant Data Coordinator

An exciting opportunity has arisen to join the Haematology Transplant Team as a Data Coordinator, within the Tertiary division.
We are looking for someone who can develop the role and make it their own, through innovative thinking and smart processes. You will work closely with the Quality Manager and Programme Director using a number of Trust systems, along with MS Office, ensuring databases are kept up to date, while hitting deadlines for submitting data to the EBMT. Alongside this, you will assist with audits, mortality cases and other admin tasks for the service.
The post holder will be responsible for the provision of high-quality complex data collection whilst providing efficient and organised administrative support to managers and clinicians in the Stem Cell Transplant Service. The post holder will act as a main point of contact for the specific projects assigned and ensure confidential and sensitive information is always kept secure.
The post holder will work independently and follow the policies and procedures for the trust and within the department. The post holder will also be expected to use their own initiative and report accordingly to their line manager and senior colleagues. The post holder will resolve any day-to-day problems independently, however, will understand when it is appropriate to escalate to senior staff.
The post holder will ensure consistent and professional administrative and data support to the Stem Cell Transplant Service and support the Haematology team. This will require flexibility, the use of initiative and a very high degree of organisational skills.
The stem cell transplant service is a regional accredited referral centre that is situated at the main Blackpool Teaching Hospitals site, with over 40 procedures carried out each year.
This number is growing year on year and our staff work together as a multi-disciplinary team to provide the best care for all of our patients.
DUTIES AND RESPONSIBILITIES
To take ownership of the regular collection and entry of high-quality data for the Stem Cell Transplant Service and maintaining a full record of all patients receiving a transplant at Blackpool Teaching Hospitals onto a range of IT database systems and spread sheets.
Support the completion of the EBMT Minimum Essential Data Form A (MED-A) on all patients at Day 0, and Day 100 and Appendices, then annually upload completed data onto the Database system.
To respond in a timely manner to any data queries raised or study information requests made from EBMT/BSBMT
Liaise with the Registry Data Manager in London to ensure that all registration is undertaken within critical timescale.
Attend the monthly Transplant JACIE quality Meeting to gather information regarding patient status etc. for data capture.
To provide information on the transplants performed as and when required and to develop skills and knowledge relating to autologous stem cell transplants.
Liaise with NHSBT with regards to stored stem cells and provide data to the Transplant Director, Transplant Lead Nurse, and Quality Manager for JACIE meetings.
To ensure data is collected in line with protocol requirements, complying to the principles of Good Clinical Practice, national and local policies.
To work according to regulations described in local Standard Operating Procedures and EU Clinical Directive
To ensure data integrity is always maintained and to raise any issues with the quality or the collection of data with line management or senior colleagues.
To proactively follow up missing or unclear data
To request any external lab results, reports or any discharge summaries or GP correspondence, haematology clinic letters etc. pertinent to a patient’s involvement in a stem cell transplant
To be responsible for data cleaning exercises, where required to engage with clinicians and ward staff, where required, to ensure satisfactory data collection from colleagues outside of the usual stem cell transplant team e.g., out of hours, unscheduled admissions.
To take the initiative to identify any potential areas of development and to highlight to line management or senior colleagues.
To implement and adhere to the principles of GCP (Good Clinical Practice)
Any other duties as delegated by the Quality Manager or Programme Director
To maintain Stem Cell Transplant MED A Files and source documentation
Meet regularly with the Transplant Director and other transplant unit clinicians as required to review and validate individual transplant patient records.
Regular liaison and support to the Quality Manager.
To have a good knowledge of a range of administrative procedures, including specialised systems
