The Clinical Skills Unit Administrator will support the delivery of Clinical Skills and Simulation education, at UHL Trust, including statutory and mandatory training provision. The post will be integral to the clinical skills team and will play a key administrative role in ensuring that all staff members and students receive the training and education they need to do their jobs safety and effectively in line with the Trust’s values and statutory and mandatory requirements.

The Education Administrator will work closely with all team members to ensure the smooth operation of Education

To provide a first point of contact for all professional groups to ensure efficient co-ordination of booking arrangements for the most efficient and effective use of the training centres

To be experienced in using Microsoft Office, with a high degree of working knowledge of Excel including generating reports / graphs and reports for use within the Trust.

Provide administrative support for the whole Clinical Skills unit education delivery

To provide a first point of contact for all professional groups to ensure efficient co-ordination of booking arrangements for the most efficient and effective use of the training centres

To be experienced in using Microsoft Office, with a high degree of working knowledge of Excel including generating reports / graphs and reports for use within the Trust.

To be able to work autonomously to maintain up to date accurate statistical data

Assist in the development of new audit cycles as part of UHL clinical governance to ensure all data is robust and comprehensive.

To retrieve clinical information from UHL patient databases (e.g. Hiss, Nerve Centre) for which training will be provided.

To deal with correspondence, telephone calls and direct contacts including face to face with internal and external agencies in an appropriate and professional manner, using judgement and discretion where necessary and referring complex matters to relevant senior members of staff.

To attend team meetings as required and be an active participant in team meetings, including taking minutes, transcribing minutes, maintaining and monitoring action trackers and ensuring circulation in a timely manner.

Manage and co-ordinate learning events i.e. scheduling training dates in advance, pre-booking trainers, training venues, courses and conferences and liaising with external and internal training providers.

To ensure that the administrative systems within the team are operationally effective advising any concerns to the Senior Clinical Skills facilitators

To have an understanding of health and safety regulations and assist in maintaining a safe environment for staff and visitors to the department and training hubs in accordance with fire, health and safety procedures.

To carry out a range of administrative tasks (photocopying, post, taking messages, keeping timetables and diaries etc.) as directed and to provide cover for other administrative team members as and when required.

To raise requisitions for course equipment and consumables in conjunction with the Technician team utilising the NHS supplies and Cedar ordering system as required

Responsible for office equipment, orders and maintains office supplies and stationery including attendance sheets from training rooms.

Actively participate in ensuring that new colleagues to the team have the necessary skills and knowledge to undertake administrative duties as part of their role.

To provide cover for other administrative team members.

To ensure that the confidentiality of data and related information is maintained through careful and secure systems of work
