**Project Administrator**

**£20,000 - £26,000**

**Purpose of the Role**

The Project Administrator is responsible for proactively supporting Project Managers in their day-to-day delivery of all aspects of Project and Programme lifecycles. This includes supporting meetings, recording actions, communicating with stakeholders, and facilitating travel to off-site locations. They will be primarily focused on providing support to the Multinational Multi Role Tanker Transport Fleet (MMF) Programme team but will also have opportunities to be involved in other projects as required.

They will work with a mindset of continuous improvement; identifying, making recommendations, and implementing changes which enhances the efficiency of the MMF Programme, whilst also working with the Project Management Office (PMO) Manager to implement changes that would benefit the wider business.

They are prepared to make significant contributions to/have ownership of ad-hoc tasking throughout the Programme lifecycle. They will act as a consistent point of contact for both internal and external Programme stakeholders relating to the MMF Programme and provide outstanding customer service. They will support the MMF Programme Manager and be responsible for administration, first line support, document maintenance and accurate record keeping to enable Programme reporting.

**Responsibilities**:

- To take accountability for the day-to-day support of the MMF Programme and ad-hoc support of other Projects and Programmes as required. Operating in a mode of continue improvement to identify, make recommendations and implement changes to enhance Project & Programme delivery.
- Provide support to the MMF Programme Team
- Provide support to the Commercial & Supply Chain function on the MMF Programme
- Assisting Project Managers in the administration to the MMF Programme
- Processing Purchase Requisitions for the MMF Team on the AirTanker Procurement tool
- Managing visitor forms and arranging catering & room bookings for meetings
- Attend project team meetings and support meeting planning & follow up activities
- Record actions and minutes of meetings
- Maintain clear and accurate records in well-structured shared directories
- Alignment of activities to the PMO and company Change Management Process
- Book hotel, flights and transport for the MMF Team for UK & foreign travel
- Any other reasonable duties assigned by line manager

**The Individual**
- Previous administrative experience.
- Microsoft Office Word, Excel & PowerPoint to Intermediate Level
- Experience of working in a professional team environment
- Proactive, hands-on approach, self-starter that can take the initiative
- Experience of working to deadlines
- Ability to adapt to new and innovative ways of working
- Attention to detail with accurate minute writing
- Effective communication skills at all levels
- Ability to obtain SC
- Previous experience within a technology team or project environment (desirable)
- Microsoft Project & Visio to Intermediate Level (desirable)
- Experience of working with non-core software packages & business system tools (desirable)
- Experience of social media based collaborative working tools (desirable)
- Experience with SharePoint or other document management system (desirable)
