Temporary HR Coordinator role available
- Assists with day to day operations of the HR functions and duties

**About Our Client**:
A well known marketing design company.

**The key responsibilities of the HR Coordinator will be to**:

- General office management duties to make sure the office runs smoothly, including but are not limited to the following: meeting/greeting guests, answering incoming calls, manage meeting rooms, maintain presentation and ambience of office, management of UPS process/workbook requirements, book couriers/assistance with post, assist with company events.
- Invoice and financial tasks including but not limited to the following: raise POs, ensure invoices are correct, monthly reconciliation of credit cards as required. Update 'Workbook' or equivalent company operating system/software used to check all timesheets and regularly update/review data, as necessary.
- Manage the whole induction process from start to finish, including but not limited to the following: prepare and manage all new employment paperwork, set up new joiner on required HR/timesheet systems, manage licences for IT equipment, work with department leads and set up the required induction schedules, meet all new joiners on arrival and manage all required paperwork including the distribution of required policies, fobs/passes. Make sure the induction is running smoothly and check-in with new employees regularly.
- Manage the whole probation review process, advise line managers on the process and help collate appropriate feedback, prepare probation letters. Highlight to Head of HR with any performance concerns.
- Manage the process of keeping the organisational chart updated at all times, update/manage the website picture process, updating jobs onto the website, and running appropriate employee stories via LinkedIn.
- Manage the entire leaver process including but not limited to the following: prepare leaver paperwork and conduct exit interviews, update all required systems and licenses with required leaving information. Make sure fobs and passes are returned.
- Responsible for running and maintaining all HR reporting requirements.
- To assist with the ISO accreditation, as directed by the Head of HR.
- Assist Head of HR with required recruitment activities, booking interviews/diary management.
- Assist Head if HR with any other appropriate HR tasks and projects.
- Assist Head of HR with paperwork for staff, draft when required.
- Maintain and update employee records and paperwork.
- Responsible for purchasing fonts as required.

**The Successful Applicant**:
**The successful HR Coordinator will have**:

- At least 2+ years of HR administration experience, working within and supporting an office of at least 70+ persons.
- Experience in MS Office (Outlook/Word/Excel) and requirement to use the company's internal project management system.
- Ability to balance and own workload/operating autonomously in most situations.
- Strong analytical skills, with a flair for problem solving.
- Clear and concise communication skills.
- Flexibility and able to co-ordinate multiple projects and answer any staff queries in a fast-paced environment.
- Excellent attention to detail and works with precision.
- Effective project manager, able to manage workload.
- Honest, trustworthy, and able to work unsupervised.
- Demonstrates initiative, is creative and contributes ideas.
- Pragmatic approach to problem solving without cutting corners.
- Friendly, approachable, respectful and a positive team player.
- Flexible, adaptable, calm whilst working under pressure.
- Professional with excellent communication skills.
- Proactive, takes ownership of daily tasks with a can-do attitude.
- Must be able to work flexibly to meet the needs of the business.
