**Job purpose**:
To provide effective administrative support and operational oversight of the Physician Associate Degree Apprenticeship and work with the Apprenticeship & Postgraduate Manager on developing the programme, expanding employer partners and embedding employers into various QMUL initiatives.

The Apprenticeship Administrator is a member of the Curriculum Delivery Unit within IHSE. This is a diverse and demanding role whose key focus is the coordination of Degree Apprenticeship activity. This post will therefore have close internal links with the central Degree Apprenticeship team, in addition to a broad range of external relationships with employers, regulators.

**Main duties and responsibilities**
- Responsible for the day to day operational support services required to deliver the Physician Associate Degree Apprenticeship, working alongside Academic Leads, professional staff, Institute and Partner Trusts.
- Support the Academic Programme Leads in ensuring compliance with the Education and Skills Funding Agency (ESFA), by maintaining accurate records including partnership agremeents (apprenticeship Agreements, Commitment Statements, etc.) and individual apprentices ongoing evidence logs of competency in preparation for end point assessment.
- Act as the initial administrative point of contact for the programme, providing a high-quality level of professional service at all times
- Maintain the programme’s online profile via a dedicated webpage in collaboration with the Programme Leads. Assist in the development and execution of a marketing campaign for the Degree Apprenticeship (both student and employer facing).
- Support the Programme Leads in generating documentation relating to the degree apprenticeships, such as handbooks and programme packs.
- Manage the relationship and ongoing contracting arrangements with employer partners, this will include overseeing all arrangements for End Point Assessment
- Support degree apprenticeship events and promotion, such as Open Days and Post-Offer Holder Days.
- Responsible for setting up and organising meetings relevant to the Programme (agenda, minute taking - includes Programme Leaderhsip meetings and tri-pratite meetings).
- Ensure the maintenance of all electronic and paper student records/databases, in conjunction with the Assessment Unit and Records Manager.
- Working closely with the Quality Assurance Team to ensure the efficient and effective operation of QA procedures directly relating to the student experience, including analysing and communicating information on complaints and adverse student feedback to the relevant programme teaching meetings.
- To provide support for education-related duties such as OSCEs and other exams as directed by the Curriculum Operations Managers
- To answer student enquiries (face to face and/or online) as dictated by the Hub Rota or the Online Student Enquiries rota
- The duties of the post outlined above are not exhaustive, and the post-holder is expected to be co-operative and flexible in accordance with the requirements of the Curriculum Delivery Team. Team members are expected to be mutually supportive and to cover duties as necessary during colleagues’ annual leave and other absences.

**Experience / Skills**

- Excellent record keeping and a keen interest in learning about, and understanding apprenticeship regulations

This means that we need overall a confident individual who is keen to learn, take ownership and will be comfortable working alongside senior academics, outside organisations and other units within the University. This is a person who will be committed to building relationships with colleagues and who will be a great communicator.

**Essential**:

- Experience of working as an administrator in a Higher Education Office environment (preferably health care related)
- A successful track record in working with colleagues at all levels, including senior staff and external contacts
- A good understanding of the annual cycle of administration within a Higher Education environment
- Excellent organisational skills
- Excellent and timely record keeping
- Excellent written, verbal and numeracy skills
- Ability to prioritise a varied workload and meet tight deadlines
- Ability to deal with students in a supportive, friendly, and professional manner
- A good understanding of student records and GDPR

**Qualifications**
- GCSE/O Level (Grade C or above) or equivalent in English and Maths
- Educated to A Level (Grade C or above) or equivalent

**Job Types**: Temporary contract, Full-time
