Project Coordinator

An exciting opportunity has arisen for a highly motivated individual to join the Trusts NHP Team as Project Coordinator within the Project Management Office (PMO). The role will provide administrative support to the PMO and support a range of project work covering a number of workstreams to include Clinical, Technical and Finance.
The post holder will provide a comprehensive, quality and confidential administrative service to the New Hospital Programme (NHP) Project Team. A key requirement of the role will be to help organise and co-ordinate workload and activities in conjunction with and supported by the team to ensure that an efficient service is provided. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the project team.
Mid Cheshire Hospitals NHS Foundation Trust provides a full range of hospital and community services for people across East Cheshire (population 399K) and West Cheshire and Chester (population 357K). The Trust provides high quality planned and emergency care, cardiac, critical care, child health, maternity services and intermediate care at Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford.
The Trust provides over 500 beds and employs over 5,100 members of staff. A comprehensive range of community services is provided across 26 medical centres and schools through our Central Cheshire Integrated Care Partnership.

SERVICE DELIVERY
- Proactively manage diary commitments by liaising with others, internally and externally, ensuring that all the required preparation is accurate and available, and that all relevant parties are briefed on any difficulties, problems or issues.
- Build and maintain constructive relationships with others, within and across the Trust and externally to the Trust in order to improve the effectiveness and efficiency of services for both staff and patients.
- Exercise own judgement based on acquired knowledge and experience, as to when to deal with queries or issues personally and when to escalate to the PMO Project Manager (or other member of the NHP team) and with what degree of urgency.
- Type and draft where appropriate, correspondence and other documents as required, checking all typing for accuracy, spelling and grammar before it is sent. Produce letters, memos, draft agendas, minutes, reports, tables, presentations and other documents fully utilising Microsoft Office.
- Processing invoices on behalf of the PMO, ensuring they are coded to the correct budget code and followed up to ensure timely payment to suppliers.
- Be fully conversant with all required electronic systems for correspondence, including specialist computer systems as applicable.
- To act as the document controller for all NHP related documents and correspondence
- Develop and continually improve effective information management systems. This includes maintaining an efficient bring forward system to effectively monitor work that has been delegated elsewhere. Progress/chase outstanding items dealing confidently with staff at all levels both internally and externally. Maintain an effective and up-to-date filing system and regularly review old files in line with departmental retention and disposal arrangements.
- Develop and maintain systems for monitoring actions across the various workstream groups.
- Always represent the NHP Team in professional manner.
GOVERNANCE
- To develop and maintain systems and processes to establish and maintain effective communication, and confidentiality of information.
- Support the development and maintenance of systems and processes to continually monitor standards, e.g., benchmarking, audit and implement action plans to improve quality of services.
- To support the PMO to ensure that lessons are learnt from issues arising from risk reports/complaints etc., and that they are promptly and positively addressed.
- Ensure compliance with Trust policies, procedures and guidelines for self and others.
MANAGERIAL/LEADERSHIP
- Ensure a healthly, safe and secure working environment is maintained, taking note of compliance with legal and regulatory requirements, maintaining accurate documentation and reporting any concerns.
