The post holder will be required to provide comprehensive, high quality secretarial and administrative support to the Hospital Dean for Undergraduate Medical Education, Director of Post Graduate Medical Education and the wider Senior Education Leadership team. This will include being the first point of contact communicating potential complex and sensitive information across organisations internally and externally, Outlook diary management, co-ordination and facilitation of meetings and event management.

The post holder will demonstrate excellent organisational skills, must be flexible in approach and able to exercise initiative and demonstrate a consistently high standard of professionalism, being aware of the need for confidentiality and integrity. Fundamental to this post is the ability to multitask, provide clear communication, offer solutions and effectively work to tight deadlines.

The Health Academy consists of over 120 staff members spanning over 6 different teams across both hospital sites (Chorley and Preston).

- To work autonomously, undertaking a multifunctional role combining an extensive range of administration, secretarial and support duties.
- To provide professional, courteous, and efficient first point of contact for all enquiries relating to education senior management leads.
- To address the needs of education leads, whilst forward planning, offering solutions and using initiative to action correspondence and enquiries as appropriate.
- Effective diary management ensuring appointments, meetings and commitments are fulfilled referring to diary holder where necessary.
- Communicate potential complex and sensitive information across organisations internally and externally.
- Plan and co-ordinate arrangements for meetings and events including room bookings, catering and resources.
- Transcribe formal minutes, create databases to collect and monitor information with regular requirement to collate reports, documentation and presentations.
- Formulate, create and circulate appraisal surveys within annual appraisal cycle timelines.
- Work with chairs of meetings to produce formal Chair Reports for submission to other committees
- To provide administrative cover to the senior leadership team within the Workforce & Education Directorate
- Develop, implement, and continuously improve effective office systems ensuring the storage and retrieval of information is clear and available.
- Undertake proactive self-management in order to effectively prioritise own workload and demands to meet expected and unexpected deadlines.
- Implements trust policies for own area, proposes changes to administrative policies.
