**ROLE SUMMARY**

The People Administrator will provide administration support to the People team and first line guidance and knowledge to the business in order to help deliver a high level of People service across the Company. The role will be based from our Sunbury Head Office.

**DUTIES AND RESPONSIBILITIES**
- Provide PA support to the People such as awards, gifts and one offs.
- Raise all employment references e.g. employment, tenancy etc.
- Organise and maintain up-to-date employee files e.g. job titles and handle filing on behalf of the Senior People BP’s.
- Be custodians of the People server/drive and ensure that a clear and logical filing system is in place.
- Password resets/unlock ADP accounts and handle any other system related technical issues and escalate to the ADP Team if they cannot be resolved locally.
- Handle probation review administration and tracking.
- Give attention to ADP automated notifications and approval requests e.g. accept personal details changes.
- Create contracts, letters (such as for floats) or addendums for review and approval by a senior member of the People team and issue to employee once approved/signed; usually via DocuSign.
- Monitor and collate new joiner reference requests and ensure they are returned before the end of the new joiners’ probation period.
- Own and manage the RTW Experian process.
- Create and update organisation charts (Visio or automated HRIS into org chart software). Publish the org charts to SharePoint monthly and in line with the deadline dates stipulated. Undertake regular organisation chart audits/reviews with department heads as to ensure that they are accurate.
- Conduct exit interview follow-up meetings once Culture Amp results complete.
- Use the relevant Teams channels to update the wider People Team of specific news e.g. new starters, leavers, employee changes etc.
- Update trackers e.g. payroll, starters and leavers and addendums/changes.
- Ensure that the HRIS is kept up-to-date and employee records are accurate and in line with organisational changes and that this always done in real-time.
- Assist Compensation and Benefits Manager by providing relevant employee information e.g. starters, leavers, absences, changes etc.
- Administer and update the SharePoint People site.
- Liaise with IT and other key stakeholders in the business, as to ensure that internal systems and processes are kept in step with the people changes.
- Create and run reports in ADP using Data Cloud.
- Provide support when required to the People Advisor for Atlas training programmes e.g. assign courses, ensure they are completed etc.
- Champion diversity, equality and inclusion in the workplace and ensure best practice is adhered to.
- Own and update the Company and People induction slides. Delivering the People induction to new starters and having week 1-2-1 touchpoints with new joiners.
- Initiating CultureAmp onboarding surveys and administering the system.
- Offboarding leavers on the CultureAmp system.
- Handles Simply Health onboarding and Bike to Work Scheme enrolment and administration.
- Instigates OH Management referrals and works with the line manager and employee when recommendations are known.
