Facilities Assistant

**General**
1. The Facilities Assistant is a full-time employee of CRFCA on an AHW contract and is responsible to the Facilities Supervisor for the completion of tasks outlined below.
2. The postholder is responsible for assisting the Facilities Supervisor with the day to day operation of the Cadet Centre.
3. In the absence of the Facilities Supervisor, the Facilities Assistant may be asked to deputise.
4. All staff have a duty to co-operate with their line managers and to take reasonable care of their own Health & Safety and that of others who may be affected by their acts or omissions. The post-holder is responsible for ensuring, so far as reasonably practicable, the Health & Safety of the staff they manage and for providing staff with appropriate information, instruction, training and supervision for all activities to ensure their safety at work.
Contribute to HQ RAFAC assurance processes
Assist the Facilities Supervisor with the day-to-day Centre programme/usage
Assist the Facilities Supervisor with maintaining the Centres Sharepoint Site for ease of use by RAFAC personnel (inc. CFAVs)
Administrate bookings on a day-to-day basis
Assist the Facilities Supervisor with the management of contractors on site including conducting H&S briefing etc.
Assist the Facilities Supervisor with the promotion of the Centre through RAFAC social media accounts using the RAFAC Influence team’s platforms
Other reasonable tasks as agreed with your line manager commensurate with your grade
Provide support to groups in terms of setting up IT equipment (centre administrative and operational support only)
Provide cover for Centres when staff are on leave (same site)
Prepared to be flexible with evening and weekend working to support centre operation
**Stores Management**
Assist the Facilities Supervisor with the day to day maintenance of the main stores account and representation of a system of control and co-ordination for the secure storage, receipt, issue and accounting of weapons and equipment, Stores including training stores, accommodation stores.
Assist the Facilities Supervisor with the maintenance of The Special Stores Register
Assist the Facilities Supervisor with the coordination of the testing of all portable appliances / Fire alarm system In line with the prime contract
Assist the Facilities Supervisor with any external audit and inspection corrective actions plan developed after all external inspections (Fire, Range, SHEP)
**Accommodation & Facilities**
Assist with work services requests for building repairs and escalate to Facilities Supervisor
Liaise with works services to facilitate visits for repairs
Assist the Facilities Supervisor with requests to Centres Manager for replacement/repair of furniture/furnishings
Control booking in/out at Centre reference liaising with Stn as appropriate. Printing passes etc.
Provide an induction briefing for all Camp Commandants/ IC groups (Handover/Takeover process). POC for each group visit
Assist with the liaison with on-site catering (contractors or Messes as appropriate) to ensure bookings are made and confirmed as per contract-stated timescales.
Management of laundry and dry cleaning in line with the HESTIA contract
Assist with fire checks
Assist with the ensuring facility cleaning is complete in line with the appropriate contract
Assist with the management the contracted maintenance of facility roads, grass areas and buildings
Be available to accept deliveries at the Centres
Contribute to the production and implementation of the SHEP management action plans
Assist with the completion of the SHEP management action plan agreed actions as allocated
**Activities**
Manage MT bookings following RAFAC policy/ legislation
Provide support to groups where qualified to do so and SQEP through RAFAC process. (Max. aggregated time 1 day per month. Line Management approval required.)
**Ranges**
Assist with the management of ranges and at the centre
Assist with the maintenance of ranges and range equipment at the centre
Help facilitate inspections
Complete actions from inspections/audits
Control the bookings and ensure personnel are qualified to use the range
**SHEP/ Total Safety**
Help facilitate inspections
Provide cover if required for the Centre Fire Officer/ Fire Warden
Assist the Facilities Supervisor to ensure all activities undertaken at the centre have been correctly risk assessed
Ensure all users comply with centres policies
Implement RAFAC report system for all accidents and near misses
Ensure all users are appropriately briefed
Undertake mandatory legionella checks
Cover when necessary as the Individual Centre Security Officer and implement security policy
**Support to Centre Users**
Provide on-call for centre users
