**The Role**

**Key Responsibilities**:
The key responsibilities of a Receptionist/Administration Support include, but are not limited to:

- To maintain an excellent public image to users, clients, staff and students generally, and positively promote the facilities and it's services by providing excellent standards of service, therefore ensuring high customer satisfaction.
- Carry out all reception duties including use of till, operation of management information system, cashing up and depositing daily takings, preparing banking, taking fees,
advance bookings, hiring equipment, membership payment options and sale of sports goods.
- Carry out administrative duties including the input and calculation of daily cashing up/banking onto excel spreadsheet for financial analysis, data basing of member details,
- Carry out day to day maintenance and programming of the Management Information System including maintaining closure bookings, contract bookings, and assisting with the programming of new functions to ensure accurate reporting.
Provide an exceptional level of support to our social media communities across Facebook, Twitter, Instagram, LinkedIn and YouTube by creating posts, moderating, responding to and escalating messages and feedback in a timely and supportive manner.
- Reconcile cash/online income, safe, till floats and facility petty cash including investigating discrepancies to provide a weekly cash income report.
- Invoicing of external groups using the University’s e5 system. Prepare and forward purchase orders for Unique Fitness.
- To generally assist in furthering the successful development and operation of the facilities, maintaining and improving the standards of the facility, becoming actively involved in development tasks as required.
- To provide an excellent standard of customer service.

**The Person**

The key skills and qualities of a Receptionist/Administration Support:

- ECDL or equivalent IT qualification (or willing to work towards)
- GCSE English and Maths (or equivalent qualification or experience)
- Experience of working/participating in a team environment
- Experience of working in a customer-facing environment and dealing with customer-led enquiries and issues
- Clear written and oral communication skills with the ability to understand and follow basic processes and procedures
