**Client Services Course Scheduling Assistant**

Redcliffe Training Associates is an industry leading provider of specialist finance training courses and has over 20 years’ experience delivering world class courses to a global blue-chip client list.

The company is now adding to its team as part of its next phase of growth and due to its on-going success, the position of **Client Services & Course Scheduling Assistant**

has become available.

The role would suit someone that has at least a year of corporate office experience.

This entry level position requires an extremely high degree of personal organisation and attention to detail. It also demands intelligence, diligence, accuracy, the ability to think for yourself and to show initiative as well as the ability to thrive under pressure whilst maintaining control, being professional and adopting, at all times, a can-do attitude.

**This role is split into two parts; Course and Client Administration and E-Marketing and Course Scheduling.**

**Course and Client Administration Tasks & Duties**

**Updating marketing materials**
- Course outlines
- Brochures
- Calendars
- Updating the website
- Updating SMART e-shots

**Client Support**
- Calling clients with thanks and the on-boarding process when they book
- Assisting clients with their booking / training / course requests
- Dealing with public course enquires & processing bookings
- Sending brochures / calendars / previous booking history to decision makers and following up

**CRM**
- Managing client contact records in CRM
- Maintaining accurate and up-to-date records on our CRM
- Tracking and tracing contacts who have left a company and adding their new company details to the CRM
- Transferring company folders and files from Redcliffe server to CRM

**Social Media Marketing**
- Posting on LinkedIn
- Twitter
- Facebook

**Dealing with “clickers”**
- “clickers” are contacts that have clicked on a page on our website

**Assisting the Client Services Manager**
- Editing trainer materials
- Attending in-house and/or public webinars if needed
- Preparing certificates

**Assisting the Trainer Liaison & Course Development Manager**
- Assisting with planning of online expert symposiums if required
- Publishing new and redeveloped courses online and within all marketing materials
- Researching for projects online if required

**E-Marketing and Course Scheduling Tasks & Duties**

**Weekly E-Schedule Preparation**
- Reviewing the weekly Courses Ahead Table, considering the information contained therein when building the upcoming E-Schedule
- Presenting the E-Schedule to both the E-Marketing Manager & Managing Director for audit & sign off
- Adjusting the E-Schedule based on the outcome of the audit
- Handover of the Schedule to the wider E-Marketing team for deployment & execution

**Redeployment of E-Marketing Resources**
- Withdrawing Marketing Support for underperforming or cancelled courses
- Reviewing the Marketing Codes associated with each course to ensure the audience remains highly targeted

**Scheduling of Public Courses**
- Liaising with trainers to ascertain their availability & finalise future course dates that have been suggested by our bespoke scheduling tool - taking care to schedule dates that allow for maximum marketing & time to book, and ensuring that courses with the same “category” do not clash
- Cancelling of underperforming course dates
- Sending out notification to the wider business of courses that have either been scheduled or cancelled.

**Assisting the direct sales team**

**Assisting the SEO and Website Development Manager**

**Staff holiday cover**
- Processing bookings & raising invoices
- Setting up webinar links for public courses
- Sending joining instructions for public and in-house courses
- Generating fee quotes
- Following up on sent fee quotes
- Dealing with in-house course requests
- Dealing with public course enquires

**Expectations**:

- You will be expected to take detailed notes to aid you after the induction training
- You will be expected to ask lots of relevant questions
