At Fenland Medical Group the NHS Secretary Apprentice will play a crucial role in providing administrative support to healthcare professionals and contributing to the efficient functioning of the healthcare facility. Business Admin level 3 Apprenticeship training is provided by PMA Ltd and on the job training by the Practice.

**What will the apprentice be doing?**

This apprenticeship offers an opportunity to develop key skills in organization, communication, and teamwork while gaining practical experience within the NHS. Under the guidance of experienced NHS secretaries, you will learn the fundamentals of administrative tasks in a healthcare setting and contribute to the smooth operation of the department.
- Provide administrative support to healthcare professionals, including consultants, doctors, and nurses.
- Maintain appointment schedules, including booking and rescheduling patient appointments, coordinating with healthcare professionals and patients as necessary
- Prepare and organize patient records, ensuring confidentiality and compliance with data protection regulations
- Assist with the coordination of meetings, conferences, and departmental events, including scheduling, preparing agendas, taking minutes, and distributing relevant materials
- Complete administrative tasks, such as typing, data entry, filing, photocopying, and scanning documents
- Monitor and maintain inventory of office supplies, ensuring availability and ordering as necessary
- Collaborate with other departments, healthcare professionals, and external stakeholders to facilitate smooth operations and effective communication
- Coordinate and arrange travel arrangements and accommodation for healthcare professionals as needed
- Participate in departmental and NHS-wide training programs and development opportunities to enhance skills and knowledge
- Comply with NHS policies, procedures, and regulations, including data protection and information governance
- Handle inquiries from patients, visitors, and staff, providing information and assistance in a professional and compassionate manner
- Contribute to quality improvement initiatives and assist in maintaining departmental performance data and statistics
- Support the implementation of digital systems and electronic medical records, ensuring accurate and timely data entry

**Qualifications and Desirable Skills**:

- GCSE or equivalent; additional education or training in business administration, secretarial studies, or related fields is desirable
- Excellent communication and interpersonal skills, with the ability to communicate effectively with healthcare professionals, patients, and other stakeholders
- Strong organizational skills, with the ability to prioritize tasks, manage time effectively, and meet deadlines
- Proficient computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment
- Attention to detail and accuracy in data entry and record-keeping
- Respect for confidentiality and adherence to data protection regulations
- Ability to work in a fast-paced and sometimes stressful healthcare environment, demonstrating resilience and adaptability
- Professionalism, reliability, and a commitment to providing excellent customer service
- Basic knowledge of medical terminology and healthcare processes is advantageous
- Willingness to learn and develop new skills, as well as a proactive attitude towards personal and professional growth

**What training will the apprentice take and what qualification will the apprentice get at the end?**
