**ACCOUNTABLE TO: Associate Director of Facilities and Estates (Soft FM)**

**RESPONSIBLE FOR: Facilities Supervisors**

The post holder is required to manage a number of Soft FM staff within Midlands Partnership NHS Foundation Trust (MPFT).

The post holder will ensure that the Buildings are run efficiently and effectively and that the environment is safe for service users, internal and external staff.

**WORKING RELATIONSHIPS**

**INTERNAL: Facilities and Estates Management Team, Clinical and Corporate Colleagues, Operational Departmental Teams.**

**EXTERNAL: Contractors, Suppliers, Professional Bodies & Associations, Other NHS Trusts, external organisations e.g. GP Practices.**

**JOB PURPOSE**

The post holder will have responsibility to manage and coordinate the day-to-day operations within soft facilities.

The role will include working closely with other stakeholders; provide support relating to any day to day operational matters.

The post holder will communicate and negotiate with internal and external contractors, GP practices and senior management on complex matters to ensure problematic areas is addressed professionally, to promote joint working between various disciplines.

To liaise on current working practices to promote a culture of continuous improvement reporting to the Assistant Facilities Manager.

**_Main duties and responsibilities_**
- Support the management of the Buildings and facilities staff; this includes planning staff rotas where applicable for the cover of the reception during annual leave and sickness. Ensuring that annual leave is coordinated across the area. Conducting staff appraisals, HR duties, including and adhering to the sickness policy, exit interviews and provide support in recruitment in conjunction with the Facilities Lead.
- Oversee the safe and effective running of the Building’s, reporting any issues appropriately, this includes working with other designates in ensuring that the annual updates of all Risk Assessments relating to Fire, Health and Safety and Environmental are completed, updates and monitored
- Direct line management of the reception team based at the Redwoods Centre.
- Supporting with commissioning and decommissioning.
- To ensure that standards are met in order to comply with internal and external inspections including ERIC, CQC, PLACE and Environmental safety.
- Monitor room bookings in the area of responsibility in conjunction with the Assistant Facilities Manager, advising on the utilisation of the bookable rooms.
- Harmonise key stakeholder relationships.
- Manage own workload; able to work on own initiative without routine supervision.
- To cross work and communicate with other Facilities Co-ordinators with day to day support and cover for absences.
- Ensure that confidentially is maintained to meet the administration needs of health professionals and service users.
- Support with the promotion of Cost Improvement Initiatives across soft FM services.
- Assist as required in service and building audits Trust Wide.
- Monitor and maintain the Service and Building’s asset register within area of responsibility.
- Identify new processes and procedures to create a more effective and efficient service.
- Advising of any matters arising relating to the services provided from the Buildings, which are likely to require the attention of the senior management.
- Act as first point of contact for handling of complaints/queries for services provided at the within the area of responsibility
- Supporting the Trust Wide Facilities and Estates staff in developing and prompting uniforms standard and efficiencies.
- Suggest and implement new ways of working in all areas
- Responsible for conducting oneself in a professional manner towards colleagues and other agencies.
- Responsible for ensuring high standards of business conduct.
- Responsible for ensuring impartiality and detachment in all dealings and working relationships with service contract providers.
- Responsible for being familiar with and complying with the Trust’s Policies and Procedures and for ensuring the same familiarisation and compliance with Partners and other service contract providers/other agencies.
- Responsible for understanding the post-holder’s responsibility for respecting and promoting issues of equality, diversity and rights in accordance with legislation and good practice and for ensuring the same by Partners and other service contract providers/other agencies.
